Job Description
We’re hiring a seasoned, strategic, and execution-driven Event Coordinator to lead end-to-end planning and delivery of events across Atinudah’s portfolio.
This is not a basic planner role; it’s a creative, technical, account, and production leadership role rolled into one.
You will be the owner of the event from inception to execution, translating briefs into actionable plans, managing clients and vendors, optimizing budgets, leading internal teams, and ensuring flawless execution.
From creative concepting to technical production, from budget control to client delight, you make the event happen, no matter what it takes.
Key Responsibilities
End-to-End Event Management:
Own and manage every stage of the event lifecycle, from briefing, ideation, budgeting, and planning to on-site execution and post-event reporting.
Interpret client needs into event blueprints, working with the concept and creative teams to shape visual and experiential direction.
Lead internal project flow, assigning responsibilities across event assistants and creative collaborators.
Client & Stakeholder Relationship Management:
Serve as the main point of contact for clients, from onboarding to wrap-up, maintaining regular communication, updates, and alignment.
Lead presentations and walk throughs with clients, confidently defending timelines, budgets, and creative rationale.
Ensure client satisfaction and post-event feedback loops.
Strategic Planning & Research:
Source new venues, production partners, talent, and event innovations that align with brand values and budget.
Conduct research into experiential trends, cultural calendars, and best practices that inform execution and pitch quality.
Support the leadership team in developing strategic event frameworks and toolkits.
Technical & Production Oversight:
Coordinate event setup, breakdown, and run-of-show logistics with full understanding of technical elements: stage design, lighting, AV, branding surfaces, guest flow, security, and more.
Work closely with production vendors and in-house teams to ensure feasibility, safety, and timeline alignment.
Budget, Negotiation & Vendor Management:
Build and manage project budgets, optimizing for cost efficiency, value, and quality.
Negotiate with vendors, suppliers, and third-party partners to secure the best terms.
Track expenses, report savings, and ensure P&L alignment for Atinudah.
Cross-Functional Team Leadership:
Lead and manage junior planners and assistants to meet event timelines and quality expectations.
Coordinate with concept designers, production managers, graphic/motion teams, logistics, and more, ensuring alignment across departments.
Own the production calendar and maintain team accountability.
Requirements
4 - 6+ years of experience in event coordination, project management, experiential marketing, or event production.
A proven track record of delivering high-end, high-pressure events from start to finish.
Strong understanding of event production mechanics, staging, lighting, sound, branding, technical integration, vendor setup, etc.
Proficiency in project management tools (Trello, Notion, Excel/Google Sheets, JIRA), timeline planning, and production documentation.
Strong budget management and negotiation skills, with experience optimizing costs and ensuring P&L success.
Excellent communication and client-facing skills, both verbal and written.
Ability to lead, delegate, and collaborate across teams, especially under pressure.
Problem-solving mindset, calm in chaos, with a bias for action and ownership.
Bonus If You Bring:
Creative background or experience collaborating with design/branding teams.
Familiarity with industry-standard production documentation - BOQs, run sheets, floor plans, rider specs, etc.
Basic knowledge of graphic tools like Canva or Adobe (for quick mocks or tweaks).
Previous experience working on celebrity events, large activations, or culturally signifcant moments.
