Description
We are seeking a Bid Administratorto oversee the preparation and submission of technical and commercial bids for Design, Engineering, Procurement, Construction, Commissioning, Startup, and Maintenance/Asset Lifecycle Support projects.
The role ensures that all proposals are competitive, compliant, and aligned with client requirements, while driving strategies to maximize win probability and project profitability.
Responsibilities
Develop and submit competitive technical and commercial bids, ensuring alignment with client requirements and internal pricing strategies to maximize bid win rates while preserving profit margins.
Lead the preparation of bid documentation, including BOQs, tender clarifications, compliance matrices, technical write-ups, and commercial pricing for EPCIC and service projects.
Coordinate pre-bid and bid review meetings with cross-functional stakeholders to gather inputs, validate assumptions, and ensure bid readiness before submission.
Manage online submission of bids via NIPEX, ARIBA, and other e-procurement portals, ensuring timely and accurate uploads within the tender window and as per client instructions.
Analyze tender documents and client specifications to extract key commercial, technical, and contractual requirements and advise on the company’s capability to bid.
Liaise with the Supply Chain, Engineering, Legal, and Finance teams to obtain required inputs for accurate costing, technical proposals, and contractual risk assessments.
Track and monitor tender opportunities, including RFIs, RFPs, EOIs, and pre-qualifications, and maintain a comprehensive bid database for planning and reference.
Apply pricing models and cost estimation tools to generate structured proposals that reflect market competitiveness and internal cost realities.
Develop bid execution timelines and work plans, ensuring timely completion of all tasks within defined submission deadlines.
Ensure adherence to internal approvals process, including bid/no-bid evaluations, bid committee reviews, and sign-offs prior to submission.
Qualifications & Experience
Bachelor’s Degree in Engineering, Physical Sciences, or a related field with a minimum of Second Class Upper (2:1)
Master’s Degree is an advantage.
CPBP (Certified Proposal and Bidding Professional) from AIBMC
APMP Practitioner Certification.
8-10 years of experience out of which 5 years would have been in the Oil & Gas Industry.
Proficiency in developing technical and commercial proposals.
Strong analytical and costing skills using estimation tools and pricing models.
Advanced proficiency in Excel and e-procurement platforms (e.g., NIPEX, ARIBA).
Excellent communication and proposal writing skills.
Detail-oriented with strong document management and compliance tracking abilities.
Ability to interpret tender requirements, contracts, and client specifications.
Experience coordinating internal reviews and cross-functional bid inputs.
Commitment to maintaining bid integrity and submission deadlines under tight timelines.
