Role Overview
The Event Coordinator at Eden Forever Christmas Decorators is responsible for ensuring smooth client experience and flawless execution of decoration projects.
This role requires creativity, strong customer service skills, and excellent organizational ability.
The Event Coordinator serves as the bridge between clients, the operations team, and vendors, ensuring that projects are delivered on time, within budget, and to the highest quality standards.
Key Responsibilities
Client Service & Communication:
Act as the primary contact for clients once a project is confirmed.
Conduct consultations to understand client requirements, preferences, and expectations.
Prepare and share proposals, quotations, and project timelines (in collaboration with the Operations Supervisor).
Provide regular updates to clients before, during, and after project execution.
Ensure customer satisfaction and follow up for feedback and referrals.
Event & Project Coordination:
Plan and coordinate decoration projects, from design brief to final execution.
Supervise decoration teams (contract staff during peak season) to ensure quality and timeliness.
Maintain checklists, schedules, and project plans to avoid errors and delays.
Ensure all set-ups meet Eden Forever’s standards of elegance, safety, and creativity.
Vendor & Inventory Management:
Source, liaise, and negotiate with vendors (e.g., suppliers of décor materials, logistics providers, equipment rentals).
Ensure vendors deliver quality materials and services within agreed timelines and budgets.
Work closely with the Accountant/Admin Officer to track stock usage, manage material requests, and monitor costs.
Maintain proper records of vendor agreements, invoices, and service levels.
Reporting & Documentation:
Submit weekly and monthly reports to HR and Operations Supervisor (covering client satisfaction, project status, and vendor performance).
Maintain records of client projects, vendor contracts, and incident reports.
Provide input for continuous improvement of service delivery and client experience.
Key Performance Indicators (KPIs)
Client satisfaction rating (feedback and repeat business).
Number of projects delivered on time and within budget.
Quality and creativity of event execution.
Vendor performance and cost-effectiveness.
Accuracy and timeliness of reports submitted.
Skills & Qualifications
Minimum 1–2 years of proven experience in event coordination, project management, or related field.
Strong customer service and communication skills (verbal, written, digital).
Creative mindset with an eye for design and festive décor.
Ability to multitask, prioritize, and manage time effectively in fast-paced environments.
Negotiation and vendor management experience is required.
Strong teamwork skills; ability to collaborate with operations, admin, and creative teams.
Proficiency in Microsoft Office, Google Workspace, or project management tools.
