The Technical Assistant is a highly critical and confidential role responsible for managing the administrative, communication, and strategic operational flow for the Founder and Chief Executive Officer.
This individual acts as the primary gatekeeper, project coordinator, and research arm, ensuring the CEO’s time is strategically managed and that all executive-level engagements, cross-functional projects, and vital research are executed with flawless precision and absolute discretion.
This position requires exceptional proactive planning, superior organizational skills, and the ability to anticipate the needs and information requirements of an executive in a fast-paced, high-growth digital environment.
Key Responsibilities
Executive Time & Calendar Management:
Calendar Ownership: Manage and optimize a complex, ever-changing calendar, scheduling all internal and external meetings, appointments, and deadlines.
Travel Logistics: Coordinate comprehensive domestic and international travel itineraries, including flights, accommodation, visa applications, and transportation.
Meeting Preparation: Prepare agendas, collate necessary documents, and ensure the CEO is fully briefed for all meetings and speaking engagements.
Communication & Stakeholder Gatekeeping:
Correspondence Management: Filter, prioritize, and manage all incoming executive-level communications (emails, calls, and physical mail), drafting professional responses on behalf of the CEO as required.
Internal Liaison: Serve as the primary point of contact between the CEO and internal Strategic Business Unit (SBU) leaders, external partners, and high-value clients.
Confidentiality: Maintain the highest level of confidentiality and integrity regarding sensitive corporate and financial information.
Administrative & Project Support:
Document Creation: Prepare, proofread, and format professional documents, including presentations (PowerPoint/Google Slides), reports, and detailed memoranda for board-level review.
Event Coordination: Organize and manage logistics for internal executive team meetings, workshops, and light corporate events.
Office Administration: Process and reconcile expense reports, manage administrative budgets, and maintain systematic digital and physical filing systems.
Strategic Project Coordination & Research:
Project Coordination: Act as the central coordinator for the CEO's priority initiatives, actively tracking key milestones, deadlines, and dependencies across departments (Tech, Marketing, etc.) to ensure timely delivery and follow-through.
Research & Insights: Conduct targeted market, competitive, or industry research on behalf of the CEO, synthesizing complex information into concise, actionable briefing notes and reports to inform strategic decisions.
Presentation Development: Create high-impact presentations and documents that translate research findings, performance data, and strategic plans into clear visual narratives for internal teams and board-level discussions.
Administrative Support: Process and reconcile expense reports and maintain systematic digital and physical filing systems.

Qualifications & Experience
Education: Bachelor's Degree in Business Administration, and any social science course.
Experience: 3+ years of proven experience supporting C-level or Senior Executive management in a dynamic, high-growth environment, preferably within the Tech, Consulting, or Finance sectors. In addition, have demonstrable experience in project coordination or business research/analysis.
Technical Mastery: Expert proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and Google Workspace.
Skills: Demonstrated ability to manage multiple projects simultaneously under tight deadlines and deliver with accuracy.
Communication: Exceptional written and verbal communication skills, including professional email and report drafting.
