Job Brief
The Personal Assistant is to provide personalized secretarial and administrative support to the Executive in a well-organized and timely manner.
Be responsible for managing the direct reports’ calendar, making travel arrangements, answering phone calls and managing correspondence, scheduling appointments and proactively making decisions on the best course of action to get the job done.
Research and presentations will be a significant part of work. Occasionally working on a one-to-one basis on a variety of tasks related to the Executive's working life and communication.
This position requires the ability to anticipate needs, think critically and offer solutions to problems with a very high level of professionalism and confidentiality.
To fit this role, you should be well-organized, have great time management skills and be able to act as a team player and without guidance.
Key Responsibilities
Administrative and Operational Support:
Manage internal and external correspondence on behalf of the Executive.
Prepare facilities for scheduled events and arrange refreshments.
Perform administrative duties, such as filling forms, preparing correspondence, and maintaining databases.
Conduct research and provide intelligent summaries and recommendations.
Draft and edit reports, letters, proposals, and presentations.
Handle email management, offering timely responses, and ensuring the Executive is properly briefed.
Provide support for external events, speaking engagements, and interviews.
Maintain confidentiality and observe best business practices and etiquette.
Organize and attend the Managing Director's personal events and speaking engagements as needed.
Effective Communication and Liaison:
Handle requests and queries from internal/external clients.
Liaise with internal departments, answering calls and making travel arrangements.
Maintain credibility, trust, and protect confidentiality on issues and concerns addressed to the Executive
Diary and Schedule Management:
Program day-to-day meetings, calls, and movements.
Prepare daily, weekly, and monthly diary commitments and reports.
Schedule appointments, organize meetings, and maintain an events calendar.
Send reminders and ensure the Executive is well-briefed in advance.
Desirable Skills & Experience
Bachelor’s degree in Mass communications, public relations or any other related field.
Have at least 2 years of proven experience as a personal assistant
Strong written and Oral communication skills
Must possess great attention to detail and very high organizational skills
Be a self-starter, able to work independently as well as in a team
In-depth understanding of Microsoft office suite and Google suite and Canva are critical for this role
Must be structure-inclined
Excellent interpersonal skills, emotional intelligence and time management
Ability to organize a daily workload according to priorities
Effective research skills and ability to meet up multiple deadlines in good timing
Positive attitude, ability to take instructions with great attention to details and must be willing to learn
Hardworking spirit, professional appearance and demeanor with a character of excellence is key
Ability to thrive in a fast paced & fluid environment and handle variety of confidential information and issues in a sensitive manner
Salary
N250,000 Monthly.
