The Operations Unit provides operational support across departments to ensure the smooth and efficient functioning of eHA’s infrastructure and core services.
It plays a critical role in operational planning and cross-functional coordination, directly supporting the organization's mission to deliver high-quality health programs and services.
The Associate Operations provides essential administrative and logistical support to ensure smooth and efficient operational functions across eHealth Africa.
The role supports fleet management, logistics coordination, safety compliance, and record management, contributing to the organization’s ability to deliver timely, safe, and effective services.
S/he plays a key role in maintaining operational consistency and supporting both field and office-based teams in the execution of daily and project-related activities.
What You’ll Do
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:
Provide direct support to the operations unit in managing fleet logistics, movement coordination, and safety documentation to ensure smooth execution of transport activities.
Coordinate vehicle scheduling, dispatching, and tracking, ensuring timely movement of staff, goods, and equipment between office and field locations.
Liaise with drivers, vendors, and field staff to oversee vehicle readiness, maintenance, and delivery of operational services.
Maintain accurate records for vehicle usage, fuel consumption, mileage logs, and maintenance history, supporting performance monitoring and compliance.
Monitor vehicle performance and support preventive maintenance and repair processes, ensuring operational reliability and cost-effectiveness.
Ensure compliance with transport and safety policies, including updated licenses, insurance, inspection records, and incident reporting.
Work collaboratively with operations, procurement, and administrative teams to coordinate travel logistics, vehicle use, and materials distribution.
Assist with logistics coordination for meetings, field visits, and program events, ensuring timely support and resource availability.
Maintain organized filing systems, digital and physical for fleet, logistics, and operational documentation, ensuring accessibility and audit readiness.
Compile data summaries on fuel usage, vehicle utilization, and maintenance costs, contributing to operational reporting and decision-making.
Support adherence to organizational procedures and regulatory standards, promoting accountability and operational compliance.
Monitor office and field supply levels, facilitating timely replenishment and coordination with vendors and service providers for routine needs.
Contribute to continuous improvement efforts by adhering to operational procedures and recommending enhancements to fleet and logistics systems.

Qualifications and Experience
Bachelor’s Degree in Logistics Management, Business Administration or a related field.
1 - 3 years working experience in operations,logistics, or administrative support role in an NGO or an equivalent combination of education and experience.
Basic knowledge of fleet management, transport coordination, and inventory processes.
Proficient in leveraging specialized operations/logistics management software, with a strong command of Google Workspace tools, including Docs, Sheets, Slides, and Drive, to streamline operations and enhance efficiency.
Proficiency in English is required for both verbal and written communication.
Certifications and Licenses:
CLA, CLT, CPIM certifications or the equivalent are desired.
