Job Summary

• The events Coordination & Business Development Controller (ECBDC) is responsible for cooordinating and executing events at the Convention Centre while actively participating in business development activities.
• This role focuses on operational aspects of event planning, client coordination, and marketing initiatives to attract new clients.
• The ECBDC will work in close partnership with the Events and Conventions Manager to ensure exceptional event experience and grow the event business.

Responsibilities
Event Coordination:

• Execute comprehensive event plans for various event types(Weddings, corporate events, concerts, conferences)
• Manage day-today logistics for events, ensuring perfect execution of client requirements.
• Coordinate with vendors, suppliers, and service providers to ensure timely delivery of services
• Conduct site visits and walkthroughs with clients, providing expert advise on room layouts and setup.
• Monitor event progress and make real-time adjustments as needed.

Client Services:

• Serve as a primary point of contact for clients during the event planning process.
• Conduct client consultations to understand requirements and preferences.
• Assist in preparing event proposals, including customized solutions.
• Maintain regular communication with clients , providing updates and addressing concerns.
• Handle client inquiries professionally and respond in atimely manner.

Vendor Management:

• Develop and maintain relationships with trusted vendors and service providers
• Coordinate vendor schedules and access to the venue for setup and breakdown.
• Ensure vendors meet the Conventions quality standards and adhere to contractual obligations.
• Resolve vendor-related issues promptly and efficiently.

Business Development Support:

• Assist in identifying potential clients and business opportunities.
• Conduct venue tours for prospective clients, highlighting the Centres features and capabilities.
• Support the implementation of marketing strategies to promote the Convention Centre.
• Attend networking events and industry functions to promote the Event Centre.
• Contribute to the development of new event packages and offerings.
• Maintain awareness of local market trends and competitive landscape.

Requirements

• Bachelor's Degree in Business, Marketing, or related fields
• 2+ years of experience in business development, sales, or marketing in the Event / Hospitality industry
• Exceptional communication, negotiation, analytical, problem-solving, and leadership skills are essential.
• Strong attention to detail and proficiency with Microsoft Office are also important.
• Ability to work in a fast-paced environment and meet deadlines
