We are a business associate with UQSR (Universal Quality Standards Registrar), a global agency providing services related to management system certification, product certification, inspection services, and training of standards. Our team of highly qualified professionals, including auditors, inspectors, and consultants, caters to every industry segment, from small and medium-size organizations to large corporations and government departments.

Job Title: Executive Assistant

Position Overview
This role goes beyond traditional administrative support.
The Executive Assistant will function as the Managing Partner’s strategic operations partner, managing day-to-day execution of initiatives across operations, finance, communication, and client relations.
You will help turn ideas into structured, measurable action ensuring AVIMETA’s growth agenda is efficiently implemented and documented.
Manage the Managing Partner’s calendar, meetings, travel, and correspondence.
Prepare high-quality presentations, reports, and briefing notes for client meetings, board discussions, and speaking engagements.
Track the implementation of the company’s Strategic Action Points and report monthly progress.
Provide research support for accreditation as a Certification Body (CB) and coordinate required documentation and stakeholder submissions.
Serve as a liaison between the Managing Partner and team leads on project and client updates.
Project, Operations & CRM Management:
Coordinate and track project timelines, deliverables, and profitability (including Gross Margin per project).
Implement and manage CRM + Project Management tools for leads, proposals, client progress, and reporting.
Support the adoption of SharePoint for document management and workflow organization.
Ensure timely invoicing, track Accounts Receivable and Payable, and maintain basic financial records in collaboration with the Finance team.
Prepare periodic operations dashboards and executive summaries.
Communication, Content & Social Media:
Manage AVIMETA’s social media presence (LinkedIn, Instagram, and website blog) — ensuring consistent, insightful, and professional updates.
Support brand refresh initiatives, updating content for the company website, e-learning hub, and client communications.
Draft newsletters, LinkedIn articles, and posts on ISO trends, sustainability, and thought leadership.
Assist in developing materials for quarterly webinars, seminars, and symposiums.
Help create and manage content for the AVIMETA E-Learning Hub, including course schedules, awareness materials, and marketing copy.
Client & Stakeholder Coordination:
Act as the first point of contact for clients, ensuring prompt and professional communication.
Support onboarding and follow-up for new clients and annual maintenance contracts
Coordinate logistics for quarterly internal workshops, external seminars, and symposiums.
Maintain a database of partners, clients, and collaborators, ensuring timely engagement.
Organizational & Developmental Support:
Coordinate staff membership enrolments and professional courses.
Track company-wide capacity-building programs and maintain certification records.
Support the creation of AVIMETA’s Annual Quality Report including data gathering, layout, and communication design.
Qualifications & Experience
Bachelor’s Degree in Business Administration, Management, Communications, Finance, or related field.
Minimum of 1 – 3 years of relevant experience supporting senior executives, preferably in consulting, professional services, or a creative corporate environment.
Exceptional writing, presentation, and communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (Notion, Trello board).
Strong digital literacy & ability to manage social media platforms and basic content design tools (Canva, PowerPoint, etc.).
Understanding of basic accounting and financial documentation (invoices, payables, receivables).
Proven ability to multitask, prioritize, and execute with minimal supervision.
