Job Title: Export Desk Officer

About the Role
We are seeking a detail-oriented and proactive Export Desk Officer to join our growing export division. The successful candidate will play a key role in managing all export operations from order processing and documentation to logistics coordination and customer support.
This role is crucial to ensuring smooth, compliant, and on-time export shipments of cashew kernels and by-products, while maintaining effective communication with internal teams, customers, regulatory bodies, and logistics partners.
Key Responsibilities
Export Order Management:
Process confirmed export orders and prepared sales contracts, proforma invoices, and confirmations.
Coordinate with Production and Quality Control teams to ensure product availability and readiness.
Track shipment schedules and communicate updates or changes promptly.
Maintain accurate records of all orders, quotations, and customer correspondence.
Documentation & Compliance:
Prepare and verify export documentation, including commercial invoices, packing lists, bills of lading, certificates of origin, and phytosanitary certificates.
Liaise with NEPC, NCS, SON, and NAQS to ensure regulatory compliance.
Ensure accuracy and completeness of documents submitted to banks, agents, and customers.
Maintain organized electronic and physical documentation archives.
Logistics Coordination:
Work with freight forwarders and shipping lines to arrange container bookings and vessel schedules.
Oversee cargo loading, packaging, labelling, and sealing at the factory.
Track shipment progress and provide customers with timely updates.
Monitor logistics costs and maintain freight rate records.
Communication & Reporting:
Serve as the operational contact point for customers, shipping companies, and inspection agencies.
Coordinate internally with Finance, Warehouse, and Production teams to ensure export readiness.
Generate and submit weekly/monthly export activity and shipment status reports.
Support export incentive documentation (EEG, NEPC, etc.) through accurate record-keeping.
Continuous Improvement & Compliance:
Maintain 100% compliance with export documentation and banking requirements (LCs, TT, etc.).
Identify and implement process improvements for documentation speed and accuracy.
Stay updated on export procedures, trade regulations, and destination-specific requirements.
Expected First-Year Outcomes
Establish a structured export documentation and tracking system.
Achieve 100% documentation accuracy and ≥95% shipment timeliness.
Support the company’s first successful, fully compliant export cycles.
Maintain a reliable, auditable export records system.
Qualifications & Experience
Bachelor’s degree or HND in Business Administration, Logistics, International Trade, or related field.
2–4 years’ experience in export coordination, documentation, or logistics (preferably in Agro-processing or food exports).
Certification or training in Export Operations / NEPC Export Procedures is an added advantage.
Proficient in MS Office (Excel, Word) and documentation management tools.
Excellent attention to detail, communication, and organizational skills.
Familiarity with cashew or Agro-commodity exports will be an advantage.
