The Incorporated Trustees of Widows and Orphans Empowerment Organization [hereinafter referred to as “Widows and Orphans Empowerment Organization (WEWE)”] is a women-led, local not-for-profit Non-Governmental Organization (NGO). This recruitment aims to identify staff who will work with WEWE to achieve its strategic objective of preventing and caring for survivors of Gender-Based Violence (GBV).
WEWE’s strategic objective for Gender-Based Violence (GBV) is to eradicate all forms of violence and discrimination based on gender. This involves implementing comprehensive interventions to prevent, respond to, and address GBV. The objective aims to create safe spaces, provide support services for survivors, raise awareness about GBV, and engage communities in fostering a culture of gender-sensitive behavior.
Key Operations / Admin Duties and Responsibilities
S/he will be overseeing activity operations, including but not limited to logistics, procurement, and accounting/finance
S/he will facilitate the use of all store documents e.g., use of stock card, Store request form, etc
S/he will ensure that complete records of all stock items concerning daily usage and replenishment are kept
S/he will ensure all operations are carried on in an appropriate, cost-effective way in Abuja/Kaduna offices
S/he will improve operational management systems, processes, and best practices
S/he will oversee that the organization’s processes remain legally compliant
S/he will supervise stock control and inventory checks
S/he will oversee documentation procedures for third-party monitoring
S/he will provide the required working tools to staff, including the allocation of workstations
S/he will ensure maximum functionality of generators and office vehicles
S/he will ensure that there is a prompt response to the repair and maintenance of office structures/buildings
S/he will collaborate with Hotel management and other vendors in the reservation of accommodation and provision of all required services at meetings and training.
S/he will be responsible for immediate repairs of faulty equipment, furniture, and appliances to avert further degeneration and ensure that they reach their expected life span or are replaced if required
S/he will coordinate and collaborate with the project drivers, security, and cleaners to ensure that the standards of an enabling working environment are provided and maintained for staff to enable them to discharge their duties
Carry out any other duties or tasks as assigned by the supervisor
Key Procurement Duties and Responsibilities
S/he will conduct Request for Quotes (RFQs) and oversee the receipt of quotations, bids, or proposals.
S/he will oversee the preparation of procurement plans and their implementation/monitoring
S/he will review and analyze all vendors/suppliers, supplies, and price options
S/he will oversee the full compliance of procurement activities with WEWE and donor rules, regulations, policies, and strategies
S/he will maintain records of vendors’ databases and other important data
S/he will oversee the inventory tracking and update
S/he will ensure that all supplies, services, and equipment required are delivered on time
S/he will carry out daily procurement activities
S/he will organize procurement meetings
S/he will raise the Purchase Request form for all requests
S/he will ensure that the products and supplies are of high quality
S/he will work with procurement team members to complete duties as needed
S/he will create and maintain good relationships with vendors/suppliers
S/he will perform other administrative activities
S/he will aid staff as needed in creating clear and understandable purchase requests and other documentation.
Carry out any other duties or tasks as assigned by the supervisor.
Requirements
Graduate with a Bachelor’s degree or Higher National Diploma (HND) degree in a relevant course such as Purchasing and Logistics, Purchasing and Supply, Business Studies, Supply Chain Management, Marketing, Business Administration, or any social or management science course
A master’s degree or Post-graduate Diploma in Procurement Management/Business Administration or any related field will be an added advantage
A second-class upper (2.1) or first-class will be an added advantage
A registered member of the Chartered Institute of Purchasing and Supply Management of Nigeria (CIPSMN) or other procurement professional bodies will be an added advantage.
Experience:
Minimum of 7-10 years of working experience as an Operations/Admin/Procurement Manager or any related field
Ability to negotiate contracts
Ability to multitask, prioritize, and manage time efficiently
Excellent communication skills
Accurate attention to detail
Goal-oriented, organized team player
Ability to work well with management and staff at all levels
Excellent report-writing skills
Excellent computer skills
Ability to work long hours when needed
Strong analytical and research skills.
