Job Title: Office Manager
Location: Akwa Ibom
About the Role
The Office Manager is responsible for ensuring the smooth day-to-day operations of the office.
The role oversees administration, logistics, documentation, and facility readiness.
It supports visiting project staff and consultants and ensures that the workspace including meeting rooms, internet, utilities, stationery, petty cash, and vendor services is always fully prepared for operations, project reviews, and stakeholder engagements.
Key Responsibilities
Office Administration & Front Desk:
Manage reception, visitor logs, meeting room bookings, and official phone/email channels.
Maintain a tidy, professional office environment suitable for C-suite executives and high-level meetings.
Coordinate office access, ID cards, and basic security protocols with building management.
Logistics & Facilities Coordination:
Arrange local transport, airport pickups, and site-visit logistics for staff, consultants, and guests.
Track and coordinate office utilities (power, internet, cleaning), escalating issues for quick resolution.
Maintain the office asset register, including laptops, printers, projectors, and routers.
Documentation & Records Management:
Maintain physical and digital filing systems for contracts, MOUs, reports, and vendor documents.
Enforce version control, proper naming conventions, and structured filing for easy document retrieval.
Support preparation of correspondence, minutes, and internal memos.
Procurement Support & Supplies:
Track office consumables (stationery, tea/coffee, printer cartridges) and reorder based on approved thresholds.
Liaise with approved vendors for office purchases and obtain quotes following procurement guidelines.
Maintain petty cash/imprest records and submit monthly reconciliations to Finance.
Meeting & Event Support:
Set up the boardroom/war room for project reviews (screens, printouts, attendance sheets, materials).
Support the organization of internal trainings and partner sessions.
Coordinate catering and refreshments when required.
People & HR Admin Support:
Maintain staff attendance records, availability lists, and visitor calendars.
Support onboarding of new staff (workstations, email account setup requests, induction packs).
Keep updated lists of all staff contacts and key vendors.
Requirements
Bachelor’s Degree in Business Administration, Office Technology, Secretariat Studies, or a related field.
3 - 5 years experience in office administration, EA support, or operations within a structured organization.
Strong MS Office/Google Workspace skills with excellent document production capabilities.
Highly organized, detail-oriented, and able to multitask across several functions.
Professional communication skills suitable for high-net-worth individuals and senior executives.
