International Institute for Democracy and Electoral Assistance (IDEA) is an intergovernmental organization with 34 member states hailing from different continents around the world. International IDEA aims to support sustainable democracy worldwide, doing so, inter alia, by working with both new and long-established democracies to strengthen the institutions and culture of democracy.
Located at the interface of research and practice, International IDEA serves as a forum for dialogue and uses comparative experience and analysis to identify good practices for democracy-building. It also produces knowledge tools and practical guides for democracy support.

Job Title: Human Resources Associate, ESGBV

Job Summary
The Human Resources Associate plays a critical role in supporting HROD processes of the ESGBV programme. In this role, they assist in keeping the organization updated and informed of HROD processes that support and guide people management and decision making, to help create a high-performance, sustainable organization that meets its strategic and operational goals and objectives.
They actively contribute to the overall smooth running of the ESGBV programme and the HROD team, working in a collaborative manner with other team members. The Human Resources Associate must have the ability to operate in compliance with organizational policies and procedures and to perform their duties under pressure and within deadlines.
They actively support the creation of a culture of leadership, development and innovation and act as a professional role model for all, at all times.
Duties And Responsibilities
Works closely with the HROD Officer in guiding staff members and managers through operational milestones of the employee life cycle from recruitment and onboarding to separation.
Supports the recruitment process, ensuring compliance with organizational policy and procedures; Supports the preparation of job descriptions and job postings, screens and reviews candidate applications, conducts interviews and organizes the administrative aspects of the recruitment process.
Contributes to the onboarding process of new staff members. Promotes the significance of International IDEA’s Core Values and ensures HROD policies and procedures are communicated and understood; Communicates with staff members on frequently asked questions and advises on mandatory compliance trainings. Supports follow-up on the probationary process with both line managers and staff members;
Contributes to a working environment that is conducive to delivering results, fostering a spirit of collaboration, strong work ethic and team cohesion;
Supports the L&D needs analysis; Conducts analysis, review and update of course content on the e-learning platforms;
Supports timely and accurate monthly payroll information, reporting updates and preparing supporting documentation and decisions for amendments to salaries and allowances; Prepares reports and maintains records;
Supports the contract extensions process; Ensures correct classification of posts including relevant competencies and skills through periodic review of job descriptions; Ensures roles and individual skills align and are harmonized with operational goals and objectives;
Supports employee offboarding to ensure full and final settlement of staff members upon separation from the organization, including the required paperwork, formalities, and associated reports; Assists with the analysis of trends for feedback or improvement, particularly in areas related to employee engagement;
Maintains accurate and up-to-date personnel records in the ERP system ensuring confidentiality, performing periodic audits to ensure all required documents are collected and filed appropriately;
Supports the timely preparation of HROD metrics and reports;
Supports the timely communication of relevant HROD information and updates;
Supports specialized human resources projects and contributes to employee engagement initiatives;
Carries out such other duties and responsibilities as related to the post that may be assigned from time to time.

Has developed knowledge and skills of human resources, policies and practices and the ability to apply them in organizational setting, through formal training or work experience;
Good drafting skills and relevant experience in reporting, analytics and templating, with a high level of accuracy and attention to detail;
Will contribute to assigned projects through different aspects of the employee life cycle, more specifically will conduct research and analysis to contribute to policy, and will draft various documents (guidelines, templates and reports etc);
Adds considerable value to team-based activities in their unit, and likely to act as and collaborates with other entities of the Institute as required;
Follows internal procedures to ensure high standards of performance and compliance with Institutional guidelines;

Education And Experience
University degree in human resources management, business management, public administration, law, or related field. and/or HR certification;
Minimum of three (3) years of relevant professional experience in the field of Human Resources is required;
Experience in data analysis and reporting, ERP systems and uploading content to organizational intranet systems considered an advantage;
Experience working with applicant tracking systems is considered an advantage;
Experience of working in an international context, e.g., in an NGO, an intergovernmental organization, is considered an advantage;
Excellent knowledge in written and oral English is required; Any other widely spoken language in an International IDEA priority region (Arabic, French, Spanish) and/or official EU language would be an asset.
