Job Summary
We are seeking a highly organized, detail-oriented, and experienced professional to join our team as Team Lead, Administration.
This role is critical to ensuring operational efficiency, effective client documentation, and strong alignment across departments.

Key Responsibilities
Serve as the institutional memory of the organization by developing and maintaining systems for record retention, protection, retrieval, transfer, and disposal.
Liaise with the sales team and internal departments to ensure accurate and timely completion of operational documentation for product sales and client contracts.
Interface with the client relations team on all client transactions to ensure smooth communication and documentation flow.
Manage the end-to-end handover process for housing units, ensuring accuracy, coordination, and client satisfaction.
Create, update, and maintain comprehensive client portfolios and documentation.
Monitor, track, and report available and occupied units across all company projects.
Oversee the allocation of housing units and ensure compliance with company processes.
Foster and maintain strong client relationships in collaboration with the client relations team.
Manage finishing schedules and share them with relevant stakeholders for alignment.
Track operational deadlines and issue reminders to responsible parties.
Ensure all transactions comply with internal policies, due diligence processes, legal requirements, and regulatory standards.
Support and engage Independent Marketers by providing up-to-date product information.
Perform any other duties assigned by the Management.
Requirements
Required Qualifications:
Bachelor’s Degree in Business Administration, Economics, or any related field. A Master’s degree is an added advantage.
Minimum of seven (7) years of relevant administrative experience.
Minimum of three (3) years in a supervisory or team lead role.
Required Competencies:
Strong administrative and organizational skills with the ability to manage documentation and office operations efficiently.
Excellent communication skills (written and verbal).
Strong interpersonal and networking skills.
Demonstrated leadership abilities and the capacity to inspire trust and coordination across teams.
Proficiency in Microsoft Office applications (Word, Excel, Access).
Sound business writing, reporting skills, and the ability to multitask under pressure.
High sense of professionalism, confidentiality, and adherence to organizational processes.
Ability to work independently and collaboratively within a team.
Strong judgment, impartiality, and compliance with policies and guidelines.
