Role Overview
We are seeking a highly organized and proactive Administrative Assistant to support daily business operations and provide direct administrative and coordination assistance to the COO.
The ideal candidate will be responsible for managing communication, tracking key projects, supporting operations—especially within the Supply Chain unit—and ensuring the COO remains focused on strategic priorities.
This role requires someone with strong administrative capabilities, attention to detail, and the ability to handle confidential information with professionalism.
Responsibilities
Executive Support & Coordination:
Manage the COO’s calendar, schedule meetings, and ensure alignment with business priorities.
Act as the primary liaison between the COO and internal/external stakeholders.
Prepare meeting agendas, take minutes, and track follow-up actions.
Draft, review, and organize internal communications and briefing documents.
Operations & Supply Chain Assistance:
Work closely with the Supply Chain Department to track performance metrics, delivery efficiency, and inventory updates.
Assist the COO with evaluating supply chain data and escalating issues where necessary.
Coordinate cross-departmental projects and follow up on deliverables to ensure timely execution.
Support reporting and documentation related to procurement, logistics, and customer fulfillment.
Project & Workflow Management:
Monitor ongoing projects managed by the COO and highlight risks or delays.
Maintain and update the COO’s task and action lists, ensuring proper prioritization.
Conduct light research and prepare reports, summaries, and dashboards for decision-making.
Administrative & Logistical Support:
Arrange travel, schedule field visits, and coordinate internal meetings and reviews.
Maintain organized records of correspondence, documentation, and meeting files.
Ensure the COO is adequately briefed and prepared for engagements.
Handle additional administrative tasks as assigned by the COO or executive leadership.
Confidentiality & Representation:
Manage all communications with professionalism and discretion.
Represent the COO and the company in a polished and competent manner.
Uphold strict confidentiality standards and safeguard sensitive information.
Promote the company’s core values of leadership, accountability, responsiveness, and excellence.
Requirements
OND / HND / B.Sc. in Business Administration, Management, or related field.
3–5 years of experience in administrative or executive support roles.
Strong organizational, communication, and multitasking skills.
Ability to work independently, manage deadlines, and prioritize effectively.
High level of integrity, discretion, and professionalism.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and general tech-savviness.
Experience working with senior leadership or in FMCG/retail operations is an added advantage.
Must reside in Abuja, preferably in Kubwa or nearby areas.
