Role Summary
The Admin Officer provides comprehensive administrative support to ensure effective office operations, coordinates compliance with regulatory requirements, and supports HR functions such as onboarding, employee welfare, and record management.
The role serves as a key liaison with government agencies, service providers, and stakeholders to maintain timely renewals of statutory documents and company obligations.
Key Responsibilities
Administrative Management:
Manage day-to-day office operations, correspondence, and documentation.
Maintain proper filing systems—digital and physical—for easy retrieval of records.
Handle mail distribution, office scheduling, and meeting coordination.
Support internal communication and ensure smooth workflow within the office.
Regulatory & Compliance Liaison:
Liaise with government agencies and regulatory bodies for necessary licenses, permits, and statutory compliance.
Track renewal timelines for operational registrations (CAC, taxes, local permits, etc.).
Submit accurate documentation to regulatory authorities and maintain up-to-date compliance records.
Support audit and inspection activities and ensure compliance gaps are promptly addressed.
HR Support Services:
Support onboarding activities (workspace setup, documentation, induction scheduling).
Maintain accurate employee records, attendance registers, and leave documentation.
Assist with employee welfare initiatives, office engagements, and new hire integration.
Coordinate HR logistics such as ID cards, access control, and work tools issuance.
Participate in recruitment operations when required (scheduling interviews, contacting candidates).
Facility & Logistics Coordination:
Monitor office environment, utilities, and basic maintenance needs to ensure a safe and efficient workspace.
Manage office consumable supplies, ensuring stock availability and accountability.
Coordinate dispatch and courier services for official documentation and items.
Liaise with vendors for facility-related support services.
Stakeholder & Vendor Relations:
Maintain relationships with service providers (cleaning, security, internet, repairs).
Track service delivery levels and escalate issues when needed.
Ensure timely processing of vendor invoices and administrative expenses.
Qualifications & Experience
Bachelor’s degree in Business Administration, Human Resources, or related field.
2–4 years experience in administration, HR coordination, or regulatory liaison roles.
Understanding of HR policies, documentation, and employment records handling.
Good knowledge of statutory compliance processes and government interactions.
Skills & Competencies:
Strong organizational skills with attention to detail
Excellent communication and professional writing ability
Discreet handling of confidential and sensitive information
Proficiency in Microsoft Office Suite
Ability to multitask and work under minimal supervision
Relationship management and stakeholder coordination.
