This is a full-time on-site role for an Inventory Officer at Care Gate Pharmacy & Store, located in Abuja.
The Inventory Officer will be responsible for maintaining accurate inventory counts, monitoring stock levels, and ensuring proper stock control.
Responsibilities
Stock Management & Movement:
Receive, record, and dispatch goods while maintaining accurate, real-time stock levels.
Track stock movement and ensure correct product arrangement, location, and merchandising across all categories.
Reconcile physical stock with system records monthly across departments, investigating and resolving any discrepancies.
Identify and update records for damaged, expired, surplus, or obsolete stock promptly.
Purchasing & Supply Coordination:
Generate and print standardized purchase orders (POs), ensuring each includes supplier name, item details, quantity, pricing, VAT, and payment terms.
Take full responsibility for overstocking caused by poorly planned or excessive POs generated by the inventory team.
Ensure all purchases are accompanied by valid invoices and accurately reflect items received.
Ensure the Purchaser initiates timely returns of excess, wrong, or unqualified goods, including expired, damaged, or unordered items, based on the agreed return policy.
Coordinate product transfers between branches and process “Product Transfer Requests” where applicable.
Supplier & Product Database Management:
Maintain and update supplier information in the inventory system: company name, contacts, product list, performance history, and payment terms.
Monitor supplier performance and update the Blacklisted Suppliers Register accordingly.
Maintain the Blacklisted Products Register based on customer feedback, performance, safety issues, or compliance violations.
Product Monitoring & Performance Tracking
Set reorder levels based on factors like season, public holidays, sales trends, school calendars, and supplier lead times.
Monitor sales performance across departments and product lines to ensure optimal stock rotation and profit margins.
Recommend discontinuation of poorly performing or obsolete items.
Ensure accurate system entry for all new product data and variant merging.
Quality Control & Product Inspection:
Inspect all incoming stock for expiry dates, tampering, fake products, and packaging defects.
Reject and document items that do not meet quality standards.
Print and distribute new shelf price tags promptly after price changes.
Market Intelligence & Pricing:
Conduct regular market surveys and competitor store visits to evaluate pricing, product availability, and emerging trends.
Use market data to make informed suggestions on new product lines, pricing strategies, and promotional ideas.
Process Oversight & Reporting:
Supervise stock handling activities such as loading, offloading, packing, and unpacking.
Train and guide new inventory staff as well as team members in related roles (e.g. cashier, sales assistant).
Submit periodic reports to management on product performance, supplier issues, suggested improvements, and buying strategies.
Ensure accurate and complete documentation of all stock entries, exits, and returns.
Customer & Team Interaction:
Review and act on customer demand lists (gathered from cashiers, shelf attendants, or supervisors) weekly.
Educate staff on new products, usage, assembly, country of origin, and how to detect counterfeits or qualify for returns.
Qualifications
Minimum of High School Diploma or equivalent; additional qualifications in logistics or supply chain management are preferred.
Strong skills in Inventory Control and Inventory Management, with an understanding of inventory software systems.
Analytical Skills to assess stock levels, monitor trends, and identify improvements.
Effective Communication and Customer Service skills to handle supplier negotiations and collaborate with internal teams.
Attention to detail, organizational skills, and ability to manage multiple tasks efficiently.
Previous experience in inventory or store management is advantageous.
Proficiency in Microsoft Excel or other inventory management tools is a plus.
