We are recruiting to fill the position below:
Job Title: Purchase / Procurement Officer
Location: Apo Resettlement - Abuja
Employment Type: Full-time
Responsibilties
Procurement Planning & Sourcing:
Identify and validate the supply needs of all departments (pharmacy, supermarket, cosmetics, etc.) and plan purchases accordingly.
Avoid unnecessary or excessive purchases by analysing stock levels, product movement, and demand trends before placing orders.
Source and evaluate suppliers based on product quality, price, delivery timelines, and reliability.
Purchase Order Management:
Generate and submit accurate Purchase Orders (POs) on the approved company template with supplier name, item list, quantities, prices, total, VAT, and payment terms.
Ensure all POs are reviewed, approved, and dispatched to suppliers in a timely manner.
Track open orders and follow up with suppliers to prevent delivery delays.
Supplier Relationship Management:
Maintain up-to-date records of all suppliers including contacts, performance ratings, and product lists.
Communicate regularly with suppliers to confirm order status, negotiate better terms, and clarify requirements.
Enforce company policy on blacklisted suppliers, no transactions must occur with flagged vendors.
Overstocking Control & Returns:
Take full responsibility for any purchases that result in thoughtless overstocking due to poor planning or failure to verify need.
Ensure all overstocked, expired, or unsuitable items are promptly returned to suppliers according to return policy.
Work closely with inventory to monitor stock turnover, expiry dates, and reorder thresholds to avoid waste or capital tie-up.
Product Quality Control:
Ensure all received products meet required standards (e.g. no expired or near-expiry items, no damaged packaging, no wrong items).
Coordinate with the inventory team to inspect deliveries and ensure rejection or return of unacceptable goods.
Monitor supplier consistency in product quality and delivery.
Market Survey & Price Competitiveness:
Conduct routine market checks to benchmark pricing, discover alternative suppliers, and recommend better-value products.
Identify and propose cost-saving opportunities through bulk purchases, alternative brands, or product substitutions.
Documentation & Reporting:
Maintain clear records of all purchase orders, invoices, supplier communications, returns, and adjustments.
Provide regular procurement reports to management including savings, overstock status, supplier issues, and market insights.
Keep proper filing systems for both physical and electronic documents.
Policy Compliance & Collaboration:
Ensure all procurement activities are aligned with internal procedures and regulatory standards.
Collaborate with inventory, finance, and department heads to ensure alignment between stock demand and purchases.
Report any unethical practices or suspicious transactions (your identity will be protected if verified).
General Duties:
Handle urgent or inter-branch procurement requests efficiently.
Support other departments as needed during downtime.
Carry out any other duty assigned by the supervisor, manager, or CEO.
