Job Summary
We are seeking Facility Officer that would be responsible for the routine day-to-day coordination, execution, and oversight of maintenance, repairs, and general services within the hospital premises.
This role focuses on maintaining the functionality, safety, security, and hygiene of the hospital environment to support continuous, high-quality patient care.
The Officer acts as the primary scheduler for maintenance tasks and liaison for external vendors.
Responsibilities and Duties
Maintenance Coordination and Scheduling:
Work Order Management: Receive, prioritize, and schedule all facility maintenance requests (work orders) from various hospital departments (wards, clinics, administration).
Technician Supervision: Direct and monitor the work of in-house Facility Technicians and maintenance personnel (plumbers, electricians, cleaners) to ensure timely and effective task completion.
Preventative Maintenance (PM): Coordinate the strict execution of the Preventative Maintenance schedule for critical systems, including generators, HVAC units, fire safety equipment, and medical gas lines.
Vendor and Contractor Management:
Liaison: Act as the primary point of contact for external maintenance contractors and service providers.
Oversight: Monitor contractors while they are on site, ensuring compliance with hospital safety protocols, quality standards, and minimizing disruption to patient care areas.
Invoice Verification: Review and verify contractor invoices against completed work orders before submission for payment.
Utility and Emergency Management:
System Monitoring: Regularly inspect and monitor the performance of all essential utilities, including water supply, power systems, sewage, and telecommunications infrastructure.
Emergency Response: Lead the initial response to facility emergencies such as major power failure, water leaks, fire alarms, coordinating immediate repairs and informing management promptly.
Generator Management: Ensure accurate fuel tracking, timely refueling, and documentation of all generator run-hours and maintenance activities.
Safety, Security, and Compliance:
Safety Audits: Conduct routine inspections of the facility to ensure compliance with health, safety, and hygiene standards.
Inventory Control: Manage the inventory of maintenance supplies, tools, spare parts, and cleaning chemicals, ensuring adequate stock levels are maintained.
Documentation: Maintain accurate, organized records of all maintenance work orders, contractor agreements, and safety certifications.
Qualifications and Experience
Education: A Higher National Diploma (HND) or Bachelor's degree in Estate Management, Facility Management, Electrical/Mechanical Engineering, or a related technical field.
Experience: Minimum of 3–5 years of practical experience in facilities operations or technical supervision, preferably within a structured institutional or healthcare environment.
Knowledge: Sound working knowledge of basic electrical, plumbing, HVAC, and building maintenance systems.
Essential Skills and Competencies:
Organizational Skills: Excellent planning, time management, and ability to manage multiple priorities simultaneously.
Supervisory Skills: Proven ability to direct, motivate, and manage trade personnel and external vendors.
Problem-Solving: Strong diagnostic and practical problem-solving abilities, especially under pressure during emergencies.
Communication: Clear written and verbal communication skills for reporting and interacting with clinical staff and contractors.
