Position Overview
The Executive Assistant to the CEO will provide high-level administrative support, ensure effective time and priority management, and serve as a key liaison between the CEO and internal/external stakeholders.
This role requires exceptional communication skills, discretion, proactiveness, and the ability to thrive in a dynamic, fast-paced healthcare environment.
Manage the CEO’s calendar, appointments, meetings, and travel arrangements.
Prepare agendas, briefing materials, presentations, and reports for executive meetings.
Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO.
Maintain accurate records, confidential documents, and filing systems.
Communication & Stakeholder Management:
Act as the primary point of contact between the CEO and staff, partners, regulatory bodies, and external stakeholders.
Draft, edit, and format emails, memos, letters, and official communications.
Coordinate cross-departmental communication and ensure timely follow-up on action items.
Operational & Project Support:
Assist in monitoring strategic hospital initiatives and report progress to the CEO.
Conduct research and prepare briefs to support executive decision-making.
Help plan and execute internal events, board meetings, and leadership retreats.
General Office Functions:
Manage expense reports, budget tracking, and office logistics for the CEO’s office.
Handle sensitive and confidential information with the highest level of professionalism.
Perform additional duties as assigned to enhance the efficiency of the Executive Office.
Requirements & Qualifications
Bachelor’s Degree in Business Administration, Management, Communications, or a related field.
2 - 5 years of experience as an Executive Assistant, Senior Administrative Officer, or similar role—healthcare experience is a strong advantage.
Excellent written and verbal communication skills.
Strong organizational abilities with exceptional attention to detail.
High level of discretion, emotional intelligence, and professionalism.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
Ability to multitask, prioritize, and adapt to shifting demands.
Strong problem-solving skills and a proactive mindset.
