Job Title: Executive & Operations Assistant

About the Role

• We are seeking a highly organized, proactive, and adaptable assistant who thrives in creative environments, anticipates needs before they arise, and can seamlessly support both the founder’s personal and professional life.

Role Overview

• This role combines personal assistance, operations support, content coordination, and customer care.
• You will be the right hand of the founder, ensuring that the studio, brand operations, content schedule, and daily priorities run smoothly without constant oversight.
• This is not a task-based assistant role — we need someone who thinks ahead, solves problems, and keeps the founder focused on creative and strategic priorities.

Key Responsibilities
Customer Service & Brand Support:

• Manage all incoming customer communications (email, WhatsApp, Instagram DMs) with professionalism and brand-aligned tone.
• Track orders, follow up on deliveries, manage replacements, and handle customer concerns independently.
• Maintain records of recurring issues and provide weekly reports on customer feedback trends.

Content & Digital Coordination:

• Help format and upload written and visual content.
• Assist with maintaining a content calendar and ensure all materials are polished and visually appealing.
• Collaborate with the marketing/content team for assets as needed.

Content Creation and Support Personal and Lifestyle Support:

• Shoot photos and videos at the office and studio, including artisan processes and behind-the-scenes content.
• Maintain content library and organize files for easy access by the marketing team.
• Track lighting, batteries, and storage supplies to ensure smooth content production.

Personal and Lifestyle Support:

• Assist the founder with daily logistics and scheduling to ensure smooth operations.
• Coordinate errands, appointments, and household-related needs as necessary.
• Serve as a point of contact for vendors, service providers, and studio/home maintenance issues.

Operations and Errand Support:

• Check in regularly with artisans, oversee production flow, and relay updates.
• Run errands such as picking up supplies, materials, and deliveries.
• Assist with studio and office logistics, including coordinating vendors and transport.

Weekly schedule and Structure:

• Adhere to a set weekly rhythm with minimal supervision.
• Monday–Friday: combine customer service, content management, studio support, and personal assistant duties.
• Weekly reporting to founder, highlighting completed tasks, upcoming priorities, and potential issues.

Skills and Qualification

• Exceptional organizational skills; thrives in structured environments.
• Proactive, detail-oriented, and solution-focused.
• Comfortable in both creative and operational tasks.
• Strong communication skills (English required; Yoruba helpful).
• Tech-savvy: Google Workspace, Notion, Canva, Shopify, social media platforms, iPhone photography basics.
• Ability to manage multiple responsibilities without supervision.
• Positive, calm, and professional demeanor.
