Job Summary
The Client Service & Information Manager is responsible for ensuring seamless management of client interactions, document control, data capture, and information flow across projects.
The role integrates client service excellence with project management support, CRM administration, and remote work capabilities to optimize operational efficiency, data accuracy, and timely communication.
This position ensures that all project-related documentation, reporting, and client communications meet organizational standards and regulatory requirements.
Key Responsibilities
Client Service & Communication:
Serve as the primary point of contact for clients on project-related queries and information requests
Maintain excellent client relationships through timely, professional, and proactive communication.
Coordinate project updates, reports, and key milestones with clients and internal stakeholders.
Ensure CRM systems are accurately updated to reflect client interactions, feedback, and follow-ups.
Document & Information Management:
Manage project documentation, including technical documents, contracts, and client correspondence.
Implement document control procedures ensuring all files are complete, up-to-date, and compliant with organizational policies.
Monitor and maintain access rights to sensitive or confidential project information.
Support audit, compliance, and reporting activities by ensuring easy retrieval of relevant documents.
Data Capture & Reporting:
Collect, validate, and organize project data for reporting, analysis, and decision-making.
Use CRM and other digital tools to capture client and project information accurately.
Generate management dashboards and performance reports for internal and client review.
Identify trends, gaps, or risks in client/project data and escalate as needed.
Project Support & Coordination:
Assist project managers in scheduling, tracking, and reporting project deliverables.
Support remote teams with project updates, document submission, and status reporting.
Collaborate with internal departments to ensure alignment of information, processes, and client requirements.
Continuous Improvement & Digital Adoption:
Identify opportunities to improve document control, CRM usage, and client communication processes.
Promote digital efficiency through tools, automation, and standardized workflows.
Ensure data accuracy, integrity, and confidentiality across all systems.
Qualifications & Experience
Bachelor’s degree in Business, Project Management, Information Management, or related field.
Professional certification in Project Management (PMP, PRINCE2) or Document/Information Management is an advantage.
Minimum 5 - 7 years’ experience in client service, document management, or project coordination.
Experience with CRM systems, digital document management, and remote collaboration tools.
Skills & Competencies:
Excellent organizational and time-management skills.
Strong written and verbal communication skills for client interactions.
Attention to detail and high standards for data/document accuracy.
Ability to manage multiple projects and deadlines simultaneously.
Proficiency in MS Office, CRM tools, and cloud-based collaboration platforms.
Analytical mindset with problem-solving capabilities.
Ability to work independently in a remote or hybrid environment.
