Job Title: Inventory Administration Officer
Location: Katsina

Reporting Line: Reports to: Operations Manager / Store Manager / Supply Chain Lead
Job Purpose
The Inventory Administration Officer is responsible for maintaining accurate inventory records, monitoring stock movements, supporting inventory control processes, and ensuring the availability of materials and products while minimizing losses, discrepancies, and stockouts.
Key Duties and Responsibilities
Inventory Control & Records:
Maintain accurate and up-to-date inventory records for all stock items.
Record all inventory transactions including receipts, issues, transfers, and returns using approved inventory systems or registers.
Conduct regular physical stock counts and reconciliations against system records.
Investigate and report inventory variances, losses, or damages promptly.
Stock Monitoring & Reporting:
Monitor stock levels and flag low stock or overstock situations to management.
Prepare periodic inventory reports (daily, weekly, monthly) for management review.
Track fast-moving, slow-moving, and obsolete items and recommend corrective actions.
Support reorder planning by providing accurate stock data and consumption trends.
Warehouse & Store Coordination:
Ensure proper storage, labeling, and organization of inventory in line with company procedures.
Work closely with storekeepers, warehouse staff, and production teams to ensure smooth stock flow.
Ensure all inventory movements are properly authorized and documented.
Compliance & Controls:
Enforce inventory control policies, procedures, and internal controls.
Ensure compliance with health, safety, and security standards within storage areas.
Support audits by providing inventory records and participating in stock verification exercises.
Administrative Support:
Maintain inventory documentation including delivery notes, issue vouchers, bin cards, and stock registers.
File and archive inventory records accurately for audit and reference purposes.
Perform any other inventory-related administrative duties as assigned by management.
Key Performance Indicators (KPIs)
Accuracy of inventory records.
Timeliness and quality of inventory reports.
Reduction in stock discrepancies, losses, or expiries.
Compliance with inventory procedures and controls.
Qualifications & Experience
Minimum of OND / HND / BSc in Business Administration, Accounting, Logistics, Supply Chain Management, or a related field.
1 - 3 years’ experience in inventory administration, storekeeping, or warehouse operations.
Experience working with inventory management systems or Excel-based stock tools is an advantage.
Skills & Competencies:
Strong attention to detail and high level of accuracy.
Good record-keeping and documentation skills.
Basic analytical and reporting skills.
Proficiency in Microsoft Excel and inventory software.
Strong organizational and time management skills.
Integrity, accountability, and ability to handle stock responsibly.
Good communication and teamwork skills.
