Bookkeeper / Accounts Officer at Vitalvida

Vitalvida is a growing e-commerce company based in Lagos. We sell via landing pages and social media, operating a Cash-on-Delivery (COD) model with third-party delivery agents across Nigeria.

We are recruiting to fill the position below:

Job Title: Bookkeeper / Accounts Officer

Location: Oyingbo, Ebute Metta, Lagos
Employment Type: Full-time

The Role

• We process about 40 orders per day and need a sharp, detail-oriented bookkeeper to track every naira coming in and going out.
• You are the gatekeeper of our money. Every payment that comes in, every expense that goes out, every DA remittance — you track it, verify it, and reconcile it. If the numbers don't add up, you're the first to know and the first to flag it.
• This is not a back-office role where you hide behind spreadsheets. You'll interact with telesales, dispatch, delivery agents, and sometimes customers. You need to communicate clearly and work fast.

What You'll Do Daily
Payment Confirmation (Morning Priority):

• Check bank account first thing every morning
• Match incoming payments to orders (phone number + order number)
• Confirm order as "Paid" in the system
• Flag any payment that doesn't match an order
• Handle transfer issues: wrong amount, missing reference, duplicate payments

DA Remittance Tracking:

• Track cash collected by each Delivery Agent
• Verify DA remittances: Did they remit what they collected?
• Log every remittance with order numbers
• Flag discrepancies: DA says ₦50,000 failed delivery, but records show ₦30,000
• Escalate DA cash issues to Dispatch Coordinator and management

Bank Reconciliation:

• Reconcile bank statement daily — every naira must be accounted for
• Match: Orders delivered → Payment received → Bank deposit confirmed
• Investigate unmatched transactions
• Prepare daily cash position report

Expense Tracking:

• Record every expense: rent, salaries, ads, logistics, supplies
• Categorize expenses properly — no dumping everything into "miscellaneous"
• Collect and file receipts/invoices
• Flag unusual or unapproved spending

Monthly Tasks:

• Prepare payroll data: salaries + commissions + deductions
• Reconcile DA payments and fees
• Generate monthly financial summary
• Support tax filing and compliance

What You'll Track:

Who We're Looking For
Required — You MUST Have:

• HND / B.Sc in Accounting, Finance, or related fields (HND minimum)
• 2-4 years bookkeeping or accounts experience
• Experience in e-commerce, retail, or FMCG — you understand daily transactions
• Strong Excel/Google Sheets skills — pivot tables, VLOOKUP, formulas
• Extreme attention to detail — ₦100 missing matters
• Honest and trustworthy — you'll see all our money
• Able to work independently with minimal supervision
• Good written English — you'll email and WhatsApp professionally, not "kindly do the needful"
• Live within easy commute to Oyingbo/Ebute Metta

Strong Advantage:

• Experience in COD e-commerce or delivery-based business
• Familiar with DA/rider cash reconciliation
• Experience with POS reconciliation (Moniepoint, Paystack, etc.)
• Used accounting software (QuickBooks, Wave, Zoho Books)
• Familiar with Profit First methodology
• ICAN student or part-qualified

Dealbreakers (Don't Apply If):

• You've never done bank reconciliation before
• You're sloppy with numbers — "close enough" is not good enough
• You can't explain where ₦500 went missing
• You need someone to check your work every day
• You've ever "adjusted" numbers to make things balance
• You can't keep financial information confidential

Skills We'll Test:

Working Hours:

• Monday to Saturday: 9:00am - 5:00pm
• Must be available by 9am to check bank and confirm payments
• Month-end may require extra hours for reconciliation.
