Job Summary
We are currently seeking a friendly, organized, and customer-oriented individual to join our team as a Book Keeper.
A book-keeper is responsible for maintaining the financial records of a company, ensuring accuracy in the day-to-day handling of financial data. This role involves recording transactions, managing accounts payable and receivable, reconciling bank statements, and preparing financial reports.
The bookkeeper supports the finance team in ensuring the financial integrity and compliance of the organization.
Accurately enter financial transactions, such as sales, purchases, payments, and receipts, into accounting software or ledgers.
Ensure all transactions are recorded with correct details, such as amounts, dates, and accounts.
Managing Accounts Payable and Receivable:
Process invoices, ensuring that payments are made or received on time.
Monitor and manage overdue invoices and follow up with clients or vendors as needed.
Reconcile customer and vendor statements to ensure accuracy.
Bank Reconciliation:
Reconcile bank accounts and credit card statements with the company's records.
Identify and resolve discrepancies between bank statements and internal records.
Maintaining General Ledgers:
Update and maintain the general ledger, ensuring all accounts are accurate and up to date.
Prepare and adjust journal entries as needed.
Financial Reporting:
Generate financial statements, such as income statements, balance sheets, and cash flow statements, on a regular basis.
Assist in the preparation of reports for management or external stakeholders.
Payroll Processing:
Assist in processing payroll, including calculating employee wages, withholding taxes, and ensuring timely payment.
Compliance and Record-Keeping:
Ensure that financial records are maintained in compliance with legal and company policies.
Prepare documents for audits and assist auditors in accessing necessary information.
Budgeting and Forecasting Support:
Assist in the preparation of budgets and financial forecasts by providing necessary financial data.
Monitor budgets and report variances to management.
Communication and Collaboration:
Work closely with the finance team, providing support and sharing information as needed.
Communicate with external stakeholders, such as auditors, vendors, and clients, regarding financial matters.
Other Administrative Tasks:
Perform general administrative duties related to finance, such as filing, organizing documents, and managing petty cash.
Qualifications
Education: High school diploma or equivalent required; associate or bachelor's degree in accounting, finance, or a related field is preferred.
Experience: Previous experience in bookkeeping or accounting is preferred.
Skills:
Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (especially Excel).
Strong attention to detail and accuracy.
Good organizational and time management skills.
Ability to handle confidential information with integrity.
Basic knowledge of accounting principles and financial reporting.
Working Conditions:
Environment: Typically works in an office environment. May work remotely depending on the company’s policies.
Hours: Full-time or part-time, depending on the organization’s needs. Some flexibility may be required during peak financial periods.
