About the Role

• We are hiring a Front Office Patient Concierge—a refined, charismatic, and seasoned professional who will be the first and most consistent point of contact for our high-value clients.
• This role is not just about welcoming guests;it’sabout orchestrating an unforgettable luxury experience that begins the moment a client walks in and continues well beyond their treatment.
• You will be expected to manage client relationships, drive bookings and treatment conversions, and embody the poise and polish that defines our brand.

Key Responsibilities

• Warmly welcome and escort clients, offering a polished, spa-like check-in and check-out experience.
• Manage all appointment scheduling, confirmations, follow-ups, and rescheduling with tact and precision.
• Act as the face and voice of the brand, ensuring every interaction reflects elegance, discretion, and warmth.
• Facilitate seamless communication between clients and clinical staff to ensure comfort, clarity, and consistency.
• Educate clients on service options, packages, and post-care—encouraging informed decisions and repeat visits.
• Proactively track consultation outcomes, encourage bookings, and follow up with leads to boost conversion rates.
• Maintainaccurateclient records, CRM updates, and follow-up logs to ensure exceptional service continuity.
• Monitor the ambience and presentation of the front office, ensuring it aligns with a luxury environment.
• Anticipate client needs and preferences for a personalized and anticipatory service experience.
• Handle VIP requests, confidential information, and sensitive concerns with the highest level of professionalism.

Who we are looking for

• Highly experienced in a client-facing role within a luxury medical, aesthetics, hospitality, or wellness setting (3+ years preferred).
• Polished, articulate, and emotionally intelligent, with a natural ability to connect with and influence high-end clients.
• Deep understanding of client conversion, upselling, andmaintaininglong-term relationships.
• Tech-savvy, with familiarity in scheduling tools, client management software, and CRM systems (e.g., Patient now, Zohocrm,aesthetixpro,microsoft365).
• Obsession with detail, service precision, and a white-glove approach to every task.
• Confident, solution-oriented, andthrivesin fast-paced, premium environments.

Preferred Qualifications:

• Prior experience in a luxury medical spa, aesthetic clinic, 5-star hotel, or concierge medicine practice.
• Demonstratedtrack recordof increasing client conversions and retention rates.
• Knowledge of medical aesthetic treatments such as Botox, fillers, skin rejuvenation, or body sculpting.
• Experience managing CRM platforms, appointment scheduling software, and digital communication tools.
• Multilingual ability is a plus but notrequired.
