Job Description
We are seeking a highly trusted, detail-oriented, and proactive Personal & Executive Assistant / Office Manager to work directly with and under the CEO, while also overseeing the day-to-day operations of the Innovasol office.
This is a high-impact, high-access role that combines executive support, personal assistance, and office management into one senior position. You will act as an extension of the CEO, managing priorities, communications, schedules, follow-ups, and confidential matters, while ensuring the office runs efficiently, professionally, and without disruption.
This role requires discretion, sound judgment, flexibility, and initiative. You must be comfortable operating in a fast-paced, multi-brand environment and supporting global operations across Africa, Europe, and the United States.
This is a full-time, in-office position.
Key Responsibilities
Direct Personal & Executive Support to the CEO:
Provide day-to-day personal and executive assistance to the CEO, working directly under her
Manage the CEO’s calendar, meetings, appointments, and travel arrangements
Handle emails, calls, messages, and correspondence on behalf of the CEO
Prioritize, track, and follow up on tasks, deadlines, and action items
Coordinate logistics for meetings, events, and travel itineraries
Prepare and organize documents, presentations, reports, and briefing materials
Maintain absolute confidentiality and exercise discretion with sensitive information
Act as a liaison between the CEO and internal teams, vendors, and partners
Anticipate the CEO’s needs and proactively manage priorities to prevent issues
Office Management & Daily Operations:
Oversee and manage the daily operations of the Innovasol office
Ensure a clean, organized, professional, and fully functional work environment
Manage procurement, inventory, office supplies, vendor relationships, and maintenance
Monitor utilities, equipment, and office systems
Coordinate office logistics, schedules, and administrative errands
Welcome and assist clients, guests, vendors, and delivery personnel
Ensure the office is prepared for meetings, content shoots, and team activities
Communication & Front Desk Leadership:
Serve as the primary point of contact for all incoming office communications
Professionally handle and route calls, emails, messages, and inquiries
Deliver high-quality customer service in person, online, and over the phone
Support follow-ups with clients, partners, and collaborators
Social Media & Brand Support:
Support social media posting, engagement, and community management
Respond to comments and DMs professionally and on-brand
Assist with light content coordination and scheduling
Appear on camera when required to represent the brand professionally
Take photos and videos as needed and required
Administrative & Operational Support:
Support day-to-day administrative and operational tasks
Assist with internal coordination, scheduling, and execution
Support leadership initiatives and special projects
Provide ad hoc support across executive, office, and business needs
Qualifications
3–5 years of experience as a Personal Assistant, Executive Assistant, Office Manager, or similar senior administrative role
Proven experience supporting a senior executive or entrepreneur directly
Exceptional organizational, time management, and multitasking abilities
Strong written and verbal communication skills with a polished, professional presence
High level of discretion, integrity, and reliability
Tech-savvy with proficiency in Google Workspace, WhatsApp Business, Microsoft Office, Canva, and productivity tools
Comfortable working in a fast-paced, multi-brand environment
Strong problem-solving skills and the ability to work independently
Background in customer service, hospitality, or operations is a strong advantage
Flexible with days and times (weekdays and weekends as needed) and available to support varying schedules across Africa, Europe, and U.S. time zones.
Remuneration
Competitive Salary (Salary: N175,000 - N225,000 / month.) based on experience; flexible depending on qualifications
