We are recruiting to fill the position below:

Job Title: Procurement Officer

Location: Ibadan, Oyo
Employment Type: Full-time
Department: Procurement / Supply Chain
Reports To: Financial Controller

Job Summary

  • The Procurement Officer is responsible for sourcing, purchasing, and managing all goods and services required for the smooth operation of the hotel.
  • This includes ensuring timely delivery, cost efficiency, quality compliance, and maintaining strong relationships with vendors while adhering to company policies and standards.

Key Responsibilities
Procurement & Sourcing:

  • Source and procure goods and services required across all departments (F&B, Housekeeping, Maintenance, Front Office, etc.).
  • Identify reliable suppliers and negotiate favorable pricing, terms, and contracts.
  • Ensure competitive pricing through market surveys and vendor comparisons.
  • Raise and process purchase orders in line with approval procedures.

Vendor Management:

  • Develop and maintain a database of approved vendors.
  • Evaluate vendor performance based on quality, pricing, and delivery timelines.
  • Ensure all vendors comply with hotel standards and ethical practices.
  • Prevent unethical practices such as acceptance of gifts or kickbacks.

Inventory & Stock Control:

  • Work closely with storekeepers to monitor stock levels and avoid shortages or overstocking.
  • Ensure timely replenishment of essential items (e.g., food items, cleaning supplies, engineering materials).
  • Conduct periodic stock audits and reconcile discrepancies.

Cost Control & Budget Management:

  • Ensure procurement aligns with the approved budget.
  • Monitor and control costs to maximize profitability.
  • Provide cost-saving initiatives without compromising quality.
  • Prepare procurement reports and cost analysis for management review.

Quality Assurance:

  • Ensure all procured items meet required quality standards.
  • Verify goods upon delivery in collaboration with the store and user departments.
  • Address issues related to defective or substandard goods.

Documentation & Compliance:

  • Maintain accurate procurement records (purchase orders, invoices, delivery notes).
  • Ensure compliance with company policies and regulatory requirements.
  • Support audit processes by providing necessary documentation.

Interdepartmental Coordination:

  • Liaise with department heads to understand procurement needs.
  • Ensure prompt response to urgent operational requests.
  • Support smooth hotel operations by preventing supply disruptions.

Key Performance Indicators (KPI
In evaluating your performance quarterly as a Procurement Officer, below are the set KPIs:

  • Cost Savings: Achieve a minimum of 5% cost savings on annual procurement spend.
  • Procurement Cycle Time: Reduce procurement cycle time by 30% within the next 6 months.
  • Supplier Performance: Maintain a supplier performance rating of 90% or higher.
  • Inventory Turns: Achieve an inventory turn ratio of 35 times per Quarter.
  • Cost Avoidance: Identify and avoid unnecessary costs within the next quarter.
  • Compliance Rate: Maintain a 100% compliance rate with company procurement policies and procedures.
  • Purchase Order Accuracy: Achieve a purchase order accuracy rate of 99% or higher.
  • Supplier Lead Time Reduction: Reduce supplier lead time by 25% within the next 9 months.
  • Cost per Unit: Reduce cost per unit by 10% within the next 12 months.
  • Return on Investment (ROI): Achieve an ROI of 3:1 or higher on procurement initiatives.
  • Process Improvement: Implement 2-3 process improvements within the next 6 months to increase efficiency.

Qualifications & Requirements

  • Bachelor’s Degree in Purchasing & Supply, Business Administration, or related field.
  • 2–5 years of procurement experience (preferably in hospitality).
  • Strong negotiation and vendor management skills.
  • Good knowledge of inventory and supply chain processes.
  • Proficiency in Microsoft Office and procurement systems.
  • High level of integrity and accountability.

Salary
N150,000 monthly.
