The Operations Officer plays a key role in ensuring the smooth execution of client orders from initiation to final delivery.
The role involves liaising with clients to gather detailed job requirements, coordinating internal teams and processes, and ensuring accurate execution of branding and product specifications.
The role also provides strong administrative and client service support, including people management coordination, client onboarding, and accurate data management to ensure seamless operational delivery across all functions.

Key Responsibilities
Operations & Order Fulfilment:
Coordinate and monitor daily operational activities to ensure smooth execution of all orders.
Liaise with clients to gather detailed job specifications and requirements.
Confirm pricing, prepare quotations, and support proposal development.
Source and coordinate samples for client review and presentation.
Ensure timely execution, dispatch, and delivery of client orders and samples.
Support planning and execution of bulk gifting projects and brand campaigns.
People Management & Coordination:
Coordinate internal teams and ensure alignment of tasks across functions.
Support workflow allocation and follow-up to ensure timely execution of responsibilities.
Monitor team activity progress and ensure deadlines and service standards are met.
Foster effective communication between departments to ensure operational alignment.
Measure and track team performance against assigned tasks, deadlines, and operational KPIs to ensure accountability, productivity, and continuous improvement.
Identify performance gaps and escalate or recommend corrective actions where necessary.
Inventory & Records Management:
Maintain accurate and up-to-date inventory records for all gift items and packaging materials.
Monitor stock levels and generate reports for replenishment planning.
Ensure proper documentation of all operational activities, including invoicing and order tracking.
Maintain organized digital and physical filing systems.
Client Service & Administration:
Support client onboarding, registration, and data capture processes.
Manage client communication professionally and ensure timely response to enquiries.
Maintain accurate client databases and operational records.
Ensure adherence to internal policies and client-specific requirements.
Process Improvement & Documentation:
Contribute to the development and continuous improvement of operational procedures and workflows.
Assist in compiling and maintaining the Operations Playbook (standard operating procedures for the organization).
Recommend efficiency improvements to enhance service delivery and operational effectiveness.
Qualifications
Interested candidates should possess a Bachelor’s Degree with 3 - 4 years experience.
