Junide Cutting Edge Enterprises (JCEE) is a fast-growing indigenous vehicle rental company providing reliable and affordable transport solutions and logistics services. The company is based in Birnin Kebbi, Nigeria, and is seeking a highly organized and detail-oriented Company Secretary to join the team.

We are recruiting to fill the position below:

Job Title: Company Secretary

Location: Birnin Kebbi, Kebbi
Employment Type: Full-time

Position Overview

  • The Secretary provides administrative, clerical, and operational support to ensure the smooth running of the car hire business.
  • This role serves as the central point of contact among clients, drivers, management, and external partners.
  • The role involves providing high-level administrative, operational, and personal support to ensure smooth daily operations, coordinate bookings, maintain records, support logistics, and deliver customer service.

Key Responsibilities
Administrative & Clerical Duties:

  • Manage office correspondence, including emails, phone calls, and walk-in enquiries.
  • Maintain organized filing systems for contracts, invoices, logbooks, PODs, and client records.
  • Prepare and update documents such as booking forms, trip sheets, schedules, and reports.
  • Handle photocopying, scanning, printing, and document dispatch.

Booking, Client, and Vehicle Coordination:

  • Receive and process vehicle booking requests from clients.
  • Confirm availability, pricing, and trip details with clients.
  • Prepare booking confirmations, trip itineraries, and service agreements.
  • Maintain a daily schedule of all vehicle movements.
  • Assign drivers to trips based on availability and workload.
  • Communicate trip details, routes, and client instructions to drivers.
  • Track vehicle movements, including departures, arrivals, and delays.
  • Ensure drivers submit logbooks, fuel receipts, and PODs promptly.

Financial, Record-Keeping Support & Customer Service:

  • Assist in preparing invoices for completed trips.
  • Track payments, outstanding balances, and client billing issues.
  • Maintain records of fuel usage, mileage, and vehicle expenses.
  • Support management in preparing monthly or weekly financial summaries.
  • Provide timely and professional responses to client enquiries.
  • Resolve minor complaints or escalate issues to management.
  • Follow up with clients after service delivery to ensure satisfaction.

Compliance & Documentation:

  • Ensure all vehicle documents (insurance, roadworthiness, licenses) are up to date.
  • Maintain accurate records of driver documentation and compliance requirements.
  • Support management in preparing reports for audits or partner organizations.
  • Assist in coordinating vehicle maintenance schedules and monitor fuel consumption.
  • Support logistics planning (e.g., field deployments, NGO contracts).

Qualifications / Requirements

  • Preferably female, based in Birnin Kebbi, Kebbi State (with occasional remote work)
  • HND or Bachelor’s degree in Business Administration, Secretarial Studies, or a related field
  • 2–3 years of professional experience in a similar role within a car hire, logistics, or NGO setting
  • Good knowledge of local routes and transport operations is an advantage
  • Strong problem-solving and communication skills.
