We are recruiting to fill the position below:

Job Title: Personal Assistant & Administrator

Location: Remote
Employment Type: Flexible working arrangements and fully remote
Reporting Line: This role reports directly to the Owner.

Job Summary

  • We are looking for a highly organised and proactive Personal Assistant to support the owner with day-to-day business activities.
  • This role would suit someone who is confident managing multiple priorities, has good attention to detail, and is comfortable supporting across administration, bookkeeping, client management, and business development.
  • The successful candidate will play an important role in helping the business run efficiently by managing communications, following up on key actions, supporting client work, and assisting with general business operations.

Key Responsibilities
PA and Administrative Support:

  • Manage the owner's diary, appointments, and meeting schedules.
  • Monitor and respond to emails on behalf of the owner where appropriate.
  • Follow up on outstanding emails, actions, and tasks.
  • Prepare letters, reports, presentations, and meeting notes.
  • Organise business documents, files, and records.
  • Assist with travel bookings, meeting arrangements, and event coordination.
  • Provide general day-to-day administrative support.

Bookkeeping Support:

  • Raise sales invoices and issue them to clients.
  • Record purchase invoices, receipts, and expenses for a few clients
  • Maintain accurate financial records and filing systems

Client Management and Follow-Up:

  • Act as a key point of contact for clients.
  • Follow up with clients regarding outstanding information, documents, and deadlines.
  • Keep clients updated on the progress of their work.
  • Ensure all client records are accurate and up to date.
  • Help manage workflow and ensure client work is completed on time.
  • Build positive working relationships with clients and maintain a high level of service.

Business Development Support:

  • Support the owner with business development activities and new business opportunities.
  • Research potential clients, markets, and networking opportunities.
  • Help prepare proposals, presentations, and marketing materials.
  • Follow up with leads, prospects, and business contacts.
  • Assist with social media, website updates, and general marketing activity where required.
  • Maintain a pipeline of business development opportunities and track progress.

Ad Hoc Support:

  • Assist with special projects and one-off business activities.
  • Help improve business processes and ways of working.
  • Support with office management and general operational tasks.
  • Carry out any other duties reasonably requested by the owner.

Skills and Experience Required

  • Previous experience in a Personal Assistant, Executive Assistant, Office Manager, or similar role.
  • Experience with basic bookkeeping and financial administration.
  • Strong organisational skills with the ability to manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Confident following up with clients, suppliers, and contacts.
  • Good working knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Experience using bookkeeping software such as Xero, Sage, or QuickBooks would be beneficial.
  • Ability to work independently and use initiative.
  • Professional, reliable, and highly discreet.
  • Strong attention to detail and good time management.
