MdM operating in Nigeria, Borno state since October 2016.
Main Responsibilities
Under the supervision of the Medical Doctor, the Registrar will be responsible for managing and maintaining health data collection processes. Key duties include:
Daily collection and entry of health data into MdM’s databases, ensuring data accuracy and confidentiality, and maintaining a clean recording area.
The Registrar will coordinate data collection across various departments, update patient records, and ensure the timely availability of data tools.
The Registrar will report data management issues to the Medical Doctor and contribute to health data analysis
Additionally, the role involves participating in internal and external referrals, supporting mobile clinic operations, and attending relevant meetings.
Task Description
Preparation of the medical site Program activities:
Carry out day-to-day collection and entry of health data (e.g. patient’s data, date of visit, content of prescription) into the MdM’s spreadsheet and/or mission database.
Ensure data protection, in order to have reliable and up-to-date information.
Keep recording area clean and tidy
Participate in the compilation of weekly data, monitoring the trends of infectious diseases.
Make sure no data is missing.
Update patient’s card and correct mistakes on the OPD card if need be.
Ensure, promote, and maintain confidentiality regarding all information registered.
Ensure timely availability of data collection tools.
Team management:
Coordinate the data collection processes among the different departments (OPD, Nutrition, MHPSS, SRH, GBV and Community Outreach).
Make sure all information related to the beneficiaries are clear and present in the patient’s card while coordinating with the different department.
Participate in the referral processes; both internal and external referrals.
Participate in the triaging (case-coding) of patient.
Support the crowd controllers in maintaining decorum in the mobile clinic.
Reporting and attendance to different meetings
Attend the program weekly meeting.
In case of need, attend to the meetings requested by the Medical Doctor.
Report any issue concerning data management to the Medical Doctor.
Share all issues noticed in the mobile clinic with the Medical Doctor.
Contribute to the weekly and monthly health data analysis.
Liaise with the MEAL Officers for efficient, quality data collection.
Others:
Give suggestions to improve the functioning of MDM mobile clinics
Participate to the loading and unloading of the vehicles and to the setting up of the mobile clinics
Participate to weekly physical inventory of mobile clinic pharmacy
Be flexible in performing his/her duties to ensure that beneficiaries are getting good quality services
Perform other additional duties on request of the team leader
Inform immediately the security focal point in case of any security problem in the field
Requirements
Educational Qualifications:
Diploma, Higher National Diploma (HND), or Bachelor’s degree in Health Information Management, Medical Records, or a related field.
Other health related certification is of added value.
Professional Experience:
At least 3 years relevant professional experience in a similar position in humanitarian sector or supervision of health facilities.
Experience in emergency response, outbreak management, and clinical care.
Experience managing multidisciplinary teams
Technical Skills:
Strong communication and report-writing abilities.
Good knowledge of Microsoft Word and Excel.
Personal Skills:
Culturally sensitive, respectful, and adaptable.
Ability to work under pressure, manage priorities and make rapid, informed decisions.
Flexibility and readiness for irregular working hours during emergency response.
Languages:
Fluency in English required.
Knowledge of local language is an added value.
Other Requirements:
Given the operational context, employees are strongly encouraged to reside in Daura LGA which is proximal to Zango LGA the implementation area.
