Job Title: Executive Assistant to the CEO

Job Summary
The Executive Assistant to the CEO provides exceptional, high-level strategic, administrative, and operational support directly to the Chief Executive Officer.
Serving as the primary point of contact and primary gatekeeper, the EA ensures the seamless running of the CEO's office, translates executive priorities into actionable timelines, and facilitates diplomatic, efficient communications with internal and external stakeholders.
This multi-faceted role demands a rare blend of calendar and travel logistics mastery, project coordination, policy/strategic research, and exceptional stakeholder management skills.
The successful candidate operates with the highest level of integrity, diplomacy, and absolute confidentiality.
Key Areas & Responsibilities
Strategic Executive Support & Office Administration:
Manage, curate, and optimize the CEO’s complex, dynamic calendar; protect the CEO's time by proactively filtering meeting requests and prioritizing critical time blocks.
Ensure the CEO is fully prepared for all engagements; coordinate, assemble, and deliver comprehensive briefing books, agendas, and talking points.
Draft, review, format, and dispatch executive-level correspondence, presentations, and reports, ensuring they align with the Foundation’s voice and standard of excellence.
Oversee the day-to-day administrative needs of the CEO’s office, including supply procurement, vendor engagement, and expense reconciliation.
Establish, digitize, and maintain secure filing structures, ensuring sensitive organizational records are organized and immediately accessible.
Global Logistics & Travel Management:
Coordinate complex domestic and international travel itineraries, managing flight bookings, hotel reservations, ground transport, visas, and health requirements.
Build detailed travel dossiers, travel briefs, and post-trip reconciliations.
Manage travel budgets diligently, ensuring all reservations strictly adhere to MMF’s organizational policies and travel budgets.
Diplomatic Communications & Stakeholder Liaison:
Act as a professional liaison and primary representative of the CEO’s office to MMF’s Board of Trustees (including high-profile national figures), donors, government entities, and global partners.
Screen and prioritize incoming inquiries (calls, emails, physical mail), drafting expert responses or routing issues to appropriate departments.
Consistently represent the CEO and the Foundation with poise, warmth, and unshakeable professionalism.
Project Coordination & Initiative Tracking:
Track and drive key initiatives and strategic projects led by the CEO, coordinating cross-functional teams to ensure milestones are met on time.
Monitor action items emerging from executive and board meetings, sending timely follow-ups and keeping a live record of progress.
Create visual tracking tools or project status dashboards to keep the CEO informed of high-priority project health.
Policy Research, Reporting & Analysis:
Conduct thorough research and analysis on socio-economic trends, donor landscapes, and policy issues relevant to MMF’s key thematic areas.
Synthesize complex information into clear executive summaries, briefs, and analytical decks to directly inform the CEO’s strategic decision-making.

Required Qualifications & Person Specification
Education & Experience:
Academic Background: Bachelor’s degree in International Relations, Public Administration, Business Administration, Political Science, or a related field (Master’s degree or professional certification is highly desirable).
Experience: 2 to 5 years of progressive experience as an Executive Assistant, Personal Assistant, or Chief of Staff to a C-suite Executive, Director, or high-profile public figure.
Sector Familiarity: Prior experience working in a reputable NGO, Startups, Real Estate, international organization, diplomatic mission, or high-growth corporate environment is highly preferred.
Technical & Core Competencies:
Communication Mastery: Exceptional written and verbal communication skills; ability to draft elegant, error-free diplomatic prose.
Logistics & Planning: Proven ability to manage multi-leg, multi-timezone travel plans and complex, shifting schedules effortlessly.
Project Management: Strong organizational skills with the ability to manage multiple competing projects, tasks, and deadlines simultaneously.
Digital Savviness: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and modern project management software (e.g., Trello, Asana, Slack).
Analytical Capabilities: Adept at gathering qualitative and quantitative data, translating research into actionable summaries.
