We are recruiting to fill the position below:

Job Title: Front Desk Officer

Location: Guzape, Abuja (FCT) 
Employment Type: Full-time

Job Summary

  • The Front Desk Officer is the first point of contact for every client visiting or contacting Jun Aesthetic Services.
  • The role requires someone who is professional, warm, organized, and customer-focused. :The officer is responsible for ensuring excellent client experiences, managing appointments, processing payments, handling administrative duties, and supporting the smooth daily operation of the clinic.

Key Responsibilities
Client Experience:

  • Welcome every client with warmth and professionalism.
  • Ensure clients feel comfortable from arrival until departure.
  • Offer refreshments where applicable.
  • Maintain confidentiality of all client information.
  • Resolve client concerns politely or escalate when necessary.

Appointment Management:

  • Schedule, confirm, and reschedule appointments.
  • Send appointment reminders.
  • Manage the clinic calendar efficiently.
  • Coordinate therapists' and practitioners' schedules.
  • Minimize no-shows through timely follow-up.

Telephone & WhatsApp Communication:

  • Answer incoming calls professionally.
  • Respond promptly to WhatsApp, Instagram, and email inquiries.
  • Provide accurate information about services, pricing, and promotions.
  • Convert inquiries into bookings.

Reception Administration:

  • Register new clients.
  • Ensure consultation forms are completed before treatment.
  • Maintain accurate client records.
  • Update the clinic management software daily.
  • File documents appropriately.

Payments & Sales:

  • Receive payments and issue receipts.
  • Reconcile daily cash and POS transactions.
  • Promote treatment packages and membership plans.
  • Educate clients about ongoing promotions.
  • Upsell appropriate retail skincare products and treatment packages.

Inventory Support:

  • Monitor front desk supplies.
  • Notify management when supplies are running low.
  • Ensure retail products are neatly displayed.

Clinic Presentation:

  • Keep the reception area clean, organized, and welcoming.
  • Ensure brochures, magazines, and displays are arranged properly.
  • Maintain a professional atmosphere at all times.

Team Support:

  • Coordinate communication between clients and treatment providers.
  • Assist with daily operational tasks.
  • Attend staff meetings and training sessions.
  • Support clinic events and marketing campaigns when required.

Daily Duties:

  • Open the reception area before business hours.
  • Check the appointment schedule.
  • Confirm appointments for the day.
  • Welcome arriving clients.
  • Handle calls and inquiries.
  • Process payments.
  • Update client records.
  • Close the day's financial records.
  • Prepare the reception area for the next business day.

Requirements

  • Interested candidates should possess a Bachelor's Degree qualification with 2 - 5 years work experience.
