PUI has been operating in Nigeria since 2016, initially establishing its presence in Borno State with a field office in Maiduguri. Over the years, PUI has expanded its humanitarian response to deep-field locations, including Monguno and Pulka, and more recently to Katsina State in Northwest Nigeria.
We are recruiting to fill the position below:
Job Title: Logistics Officer
Location: Abuja (FCT)
General Objective / Summary
Under the direct supervision of the Deputy Logistics coordinator, the Logistics Officer is responsible for facilitating and following all logistics activities in the Abuja country office.
The logistics officer is responsible in managing the PUI premises in Abuja, stock management, fleet management and ensuring supplies are received and transported according to PUI SOP. S/he also supports procurement activities when required.
Responsibilities and Task
Objective 1: Manage the vehicle fleet, fuel consumption and driver’s rooster:
Ensure management of vehicle movements planning. Provide monthly roster for drivers.
Ensure that all vehicles have all accessories, tools & accurate documentation.
Monitoring of movements and refueling follow up. Ensure logbook & any other document properly filled.
Provide analysis and solutions on consumptions high levels.
Ensure proper maintenance & fueling of the generators of GH/Office. Maintain generator log sheet.
Ensure generator running hours are checked regularly and routine maintenance is done on time. Escalate any fault with generator.
Ensure energy meters are recharged on time and consumption recorded.
Objective 2: Flight Management:
Booking of all staff flight booking via UNHAS and Commercial platforms.
Sharing of flight manifest and tickets with staff and follow up on documentation.
Ensuring the prompt payment of flight agency and the monitoring and top up of UNHAS wallet.
Attend and share all updates on UNHAS SAOP and updates with all staff.
Booking of cargo on both UNHAS and commercial flights and follow up on delivery and collection of the cargo.
Objective 3: Support Supply Chain Documentation:
Support Supply chain manager in confirming goods receipt, drafting of GRN, SS, MWC and AOPs.
Supports the supply chain manager in scanning and archiving completed purchase files and uploading to SharePoint.
Objective 4: Stock Management:
Ensure management and organizing the reception, storage and dispatch of all supplies at the store
Ensure all requests of stock are sent and delivered to the requesters in a timely manner
Monitor the quality of products at the time of reception.
Regularly monitor the quality of products during storage. Pay special attention to expiration dates (if applicable)
Support with monthly rolling stock takes and the annual stock take, reconciling inventory records with physical counts and sharing the monthly report with Deputy Logistics Coordinator.
Issue all required office items to staff.
Objective 5: Supervise the team under his/her management:
Supervise the drivers and ensure drivers’ schedule is shared on time, followed accordingly and driving SOPs are adhered to.
Schedule and conduct routine drivers’ monthly meetings to discuss vehicle management, and any other matters arising.
Provide drivers training when needed and onboarding of new drivers when required.
Objective 6: Security of premises
Collect information and analyze the environment.
Provide support to implement the base security plan and actions.
Ensure the proper locking of office doors and replacement of key locks in the event of missing keys.
Follow the proper application of procedures and safety rules for all staff and PUI premises.
Monitor and replenish hibernation kits when required.
Monitor and top up Thuraya credit for hibernation and base.
Ensure fire extinguishers are recharged all the time and smoke detectors/fire alarms are functional.
Objective 7: Reporting:
Collect and analyze monthly data reports for inventory, stocks, running costs of vehicles and generators
Complete report documentation for consolidation (samples inventory, consumptions grids for vehicles & generators, maintenance follow up, inventory list)
Draw up the report and attach all useful documentation before sending it to Deputy logistics Coordinator
Contribute to weekly logistics meeting with additional points
The tasks and responsibilities defined in this job description are non-exhaustive and can evolve depending on the project’s needs.
The employee could be requested to perform other tasks as his/her line manager may judge necessary.

Mandatory Requirements
Language skills: Fluent in English and Hausa.
Education degree: National Higher Diploma, or any University Degree in a related field to logistics or engineering.
Work experience: Minimum of 2 years with INGO in Logistics and supply chain.
Knowledge and skills: good knowledge in warehouse management, fleet and premises management, Good knowledge of institutional donors and good management capacities.
Computer skills: Good knowledge of the MS office software including and any other software’s
Assets:
Experience in supervisory position an asset
Previous experience working for NGOs an asset
Fluency in one or more national or regional languages an asset

Good maintenance skills (electrical, plumbing or mechanical)
