Facilities Management Coordinator at Westlink Facility Management Limited

Westlink Facility Management Limited delivers a wide array of services for residential, commercial, industrial, and recreational facilities. Our offerings include Cleaning & Waste Management, Mechanical & Electrical Services, Air Conditioning, Plumbing, Swimming Pool Maintenance, Lift & Escalator Services, Security Services, and Fumigation. Building Fabric Maintenance, Data Services, Sewage Treatment Plants, Water Treatment Plants, and Horticultural Services amongst others are also provided.

We are recruiting to fill the position below:

Job Title: Facilities Management Coordinator

Location: Lagos
Job type: Full time (On-time) 

Job Purpose

  • The Facilities Management Coordinator is responsible for the day-to-day coordination and monitoring of facilities operations across Westlink FMCL's managed portfolio, ensuring service delivery, contractor performance, and statutory compliance meet agreed standards.
  • The role also provides technical and operational support to the Chief Operating Officer's business development efforts when necessary, including site data, feasibility inputs, and proposal support for prospective properties.
  • The role operates within a defined operational mandate; strategic decision-making, budget authority, contract negotiation, and commercial/clientrelationship ownership at senior level.
  • This role reports directly and reports frequently.

Key Responsibilities
Operational Coordination:

  • Oversee day-to-day facilities operations (cleaning, security, landscaping, M&E, waste management) across all assigned sites.
  • Conduct routine site inspections and log conditions, defects, and non-conformances.
  • Ensure service delivery meets agreed SLAs and Westlink's operational standards.

Contractor & Vendor Supervision:

  • Monitor day-to-day performance of contractors and service providers against SLA/KPI targets.
  • Verify contractor attendance, work completion, and PPM sign-off documentation.
  • Report performance deviations, delays, or quality issues to the COO; not authorised to vary contractor scope, cost, or terms.

Preventive Maintenance (PPM) & Asset Management:

  • Maintain and track the PPM schedule for M&E systems, fire safety equipment, and critical assets.
  • Ensure maintenance logs, permits-to-work, and service records are current and properly filed.
  • Maintain the facilities asset register and spares/consumables inventory.
  • Escalate overdue, high-risk, or safety-critical maintenance items immediately.

Client Liaison (Operational Level):

  • Act as the first point of contact for day-to-day client and occupant queries, requests, and complaints.
  • Resolve routine operational issues within defined authority; escalate high-risk, reputational, or commercially sensitive matters to the COO without delay.

Health, Safety & Compliance:

  • Monitor site compliance with H&S procedures, permits-to-work, and statutory requirements.
  • Report incidents, near-misses, and non-conformances per Westlink's H&S protocol; escalate serious incidents immediately to the COO.
  • Track the validity of statutory certifications (fire safety, insurance, equipment inspection) and flag renewals in advance.

Reporting:

  • Prepare and submit daily/weekly/monthly operational reports to the COO covering site status, complaints log, PPM completion, and contractor performance.
  • Track expenditure against approved budget lines and flag variances; not authorised to approve spend beyond the threshold defined by the COO.
  • Support the COO with data and site input for client and board-facing reporting, without personally owning that reporting relationship.

Business Development Support:

  • Support the COO in business development efforts by providing technical and operational input for proposals e.g. site condition assessments, staffing/resourcing estimates, and service scope inputs for prospective properties.
  • Conduct site walk-throughs/feasibility visits for prospective clients or properties as directed and prepare factual site reports to inform proposal development.
  • Coordinate logistics for prospective client site visits and inspections.
  • Assist in compiling operational data, case references, and performance evidence from existing sites for use in proposals and pitches.

Service Charge Administration:

  • Compute and maintain service charge apportionment for each managed property in line with lease/tenancy agreements and the approved apportionment methodology.
  • Issue service charge invoices/demands to tenants/occupants per the agreed billing schedule.
  • Follow up on overdue payments through the approved reminder sequence (notices, calls, formal letters) within defined timelines.
  • Maintain complete, audit-ready records of apportionment basis, invoices, payment history, and correspondence for each tenant, to support any future dispute or audit.

Qualifications

  • HND/BSc in Estate Management, Building Technology, Mechanical/Electrical Engineering, or a related discipline.
  • Relevant professional certification (e.g., IFMA, NIFM) is an advantage but not mandatory at this grade.

Experience:

  • Must have  5 - 8 years' hands-on facilities management or building operations experience, ideally across commercial or mixed-use properties.
  • Demonstrable experience supervising contractors/vendors and coordinating PPM programmes.
  • Prior exposure to CMMS/FM software and structured reporting is required.

Skills & Competencies:

  • Strong attention to detail and follow-through on operational issues.
  • Clear, accurate written and verbal reporting.
  • Working knowledge of H&S and fire safety compliance requirements.
  • Sound judgement on when to resolve an issue directly versus escalate.
  • Proficiency in MS Office and FM/CMMS platforms.
  • Integrity and accountability, particularly around asset and inventory records.
  • Basic commercial awareness and proposal-writing ability sufficient to support business development inputs (drafting site data, cost estimates, service scope narratives).
