Description
As the business continues to grow, we are seeking an exceptionally organized, discreet, and highly proactive male Personal Assistant to the Managing Director.
This is a strategic role that requires an individual who can anticipate needs, manage competing priorities, coordinate executive activities, and ensure the Managing Director operates at maximum effectiveness.
The ideal candidate is an experienced executive support professional who thrives in a fast-paced corporate environment and possesses excellent communication, organizational, and stakeholder management skills.
Key Responsibilities
The successful candidate will:
Provide high-level executive and administrative support to the Managing Director.
Manage the MD's complex calendar, appointments, meetings, and travel schedules to maximize productivity.
Coordinate Board, Executive Management, and stakeholder meetings, including preparation of agendas, briefing materials, presentations, and minutes.
Prepare high-quality reports, business correspondence, speeches, presentations, and confidential documents.
Screen, prioritize, and manage incoming correspondence, calls, and requests, ensuring timely follow-up and resolution.
Act as the primary liaison between the Managing Director and internal departments, Board members, shareholders, government agencies, regulators, clients, and business partners.
Monitor and follow up on strategic initiatives, ensuring decisions and action points are implemented within agreed timelines.
Coordinate local and international travel, logistics, accommodation, visas, and itineraries.
Maintain strict confidentiality in handling sensitive corporate information and executive communications.
Organize executive meetings, conferences, and corporate events.
Track deadlines, commitments, and key business deliverables while proactively reminding the MD of critical priorities.
Support investor relations, corporate governance, and Board Secretariat activities where required.
Maintain an efficient document management and filing system for executive records.
Undertake research and prepare briefing notes on business, industry, regulatory, and market developments.
Perform other strategic assignments as may be delegated by the Managing Director.
Qualifications & Experience
The ideal candidate should possess:
Bachelor's Degree in Business Administration, Law, Management, Secretarial Administration, Economics, or a related discipline.
A Master's degree or MBA will be an added advantage.
Professional certification (ICSAN, NIM, CIPM, PMP, or related qualifications) is desirable.
Minimum of 7 years' experience, with at least 3 years supporting a Chief Executive Officer, Managing Director, or Executive Director in a reputable organization.
Previous experience in a PLC, engineering, construction, equipment leasing, infrastructure, manufacturing, or oil & gas company is highly preferred.
Male candidates are prefered.
