Job Title: Business Operations & Executive Assistant (Founder's Associate)
We are looking for a highly organised, technology-savvy and proactive professional to join our founding team. This is an exciting opportunity to work directly with the Founder and CEO in building a high-growth digital business from the ground up.
Position Summary
The Business Operations & Executive Assistant (Founder's Associate) will provide executive support to the CEO while coordinating the day-to-day operations of Learnskils and assisting with strategic initiatives across the CEO's business portfolio.
This role is ideal for someone who enjoys solving problems, managing multiple projects and using technology to improve productivity. The successful candidate will play a key role in ensuring the smooth operation of the Learnskils platform while supporting business growth through effective coordination, administration and project management.
Manage the CEO's calendar, appointments and meetings.
Coordinate meetings, travel arrangements and logistics.
Prepare meeting agendas, presentations and meeting minutes.
Draft professional correspondence, reports and business documents.
Maintain organised digital and physical records.
Track action items and ensure timely follow-up.
Assist with confidential administrative assignments.
Coordinate communications with internal and external stakeholders.
Learnskils Platform Administration:
Manage the Learnskils WordPress website and ensure content remains accurate, current and professionally presented.
Publish and maintain website pages, blog articles, courses, resources and other digital content.
Manage the WordPress dashboard, media library, menus and user accounts.
Support the administration of the Learning Management System (LMS), including learner enrolments, tutor onboarding and course management.
Coordinate tutor and professional onboarding activities.
Respond to customer enquiries and support requests.
Perform regular website quality assurance checks to ensure links, forms and pages function correctly.
Monitor website performance and promptly report technical issues.
Coordinate with the website developer regarding bug fixes, enhancements and new feature implementation.
Assist with testing new platform features before deployment.
Project Coordination:
Maintain project plans, milestone trackers and implementation schedules.
Coordinate multiple projects simultaneously.
Monitor deliverables and timelines.
Prepare weekly progress reports for management.
Follow up with consultants, developers, freelancers and service providers.
Escalate issues that may affect project timelines.
Maintain accurate project documentation.
Digital Marketing & Communications:
Coordinate social media publishing schedules.
Assist with email marketing campaigns.
Maintain customer and stakeholder databases.
Upload blogs, newsletters and promotional content.
Coordinate webinars and online events.
Monitor website traffic and campaign performance.
Support the implementation of digital marketing initiatives.
Business Research & Analysis:
Conduct market and competitor research.
Research funding opportunities, grants and strategic partnerships.
Prepare briefing papers and research reports.
Analyse trends relevant to education, technology and professional services.
Cross-Business Support:
From time to time, the successful candidate will provide administrative and project coordination support for other strategic business initiatives led by the CEO.
Additional Information:
This is a hands-on role in a startup environment. The successful candidate will be expected to contribute across operations, technology, customer support, administration and project coordination as business needs evolve. Qualifications
Bachelor's Degree in Business Administration, Information Technology, Computer Science, Marketing, Economics, Public Health, Mass Communication or a related field.
Minimum of two (2) years' relevant experience in operations, administration, executive support, project coordination or digital business management.
Experience working in a startup, technology company, digital platform or fast-paced business environment will be an added advantage.
Required Technical Skills:
Candidates must demonstrate strong digital literacy and the ability to confidently manage a WordPress-based website and other cloud-based business applications.
Essential:
Strong proficiency in Microsoft Office (Word, Excel and PowerPoint).
Excellent working knowledge of Google Workspace (Docs, Sheets, Drive, Calendar and Gmail).
Installing and updating plugins (where authorised).
Updating website content without disrupting layouts.
Experience using Elementor or similar WordPress page builders.
Experience managing an online learning platform using Tutor LMS, LearnDash, LifterLMS or a similar Learning Management System (LMS).
Experience managing user accounts and website content through the WordPress dashboard.
Strong internet research skills.
Proficiency in Canva for creating professional graphics and marketing materials.
Ability to use AI productivity tools such as ChatGPT and other generative AI applications to improve efficiency.
Experience using project management tools such as Trello, ClickUp, Asana, Monday.com or Notion.
Strong spreadsheet skills for preparing reports, dashboards and project trackers.
Basic understanding of Search Engine Optimisation (SEO) and website content optimisation.
Ability to troubleshoot common WordPress issues and effectively communicate technical requirements to web developers.
Strong digital document management and organisational skills.
Desirable:
Experience with WooCommerce.
Experience using CRM platforms.
Familiarity with Google Analytics and Google Search Console.
Experience with email marketing platforms such as Mailchimp or Brevo.
Experience using Power BI or Google Looker Studio.
Basic knowledge of HTML and CSS.
