We are recruiting to fill the position below:
Job Title: Administrative - Controls Coordinator / Administrator II
Coordinating compliance controls and integrity within the group, ensuring implementation, administering and managing the controls calendar, system access, and data management with less emphasis on analytics and more on coordination and data management.
Reports on Business Control KPIs, irregularity logs, and key activities related to Representation Letters, the Fixed Asset Register, and ad hoc activities such as awareness training and the oi System (oi). Reports to the Project Controls Advisor. Works with moderate supervision and is skilled and knowledgeable in the position.
Responsibilities
Promote Controls Integrity (CI) and controls, and support staff control awareness
Identify new processes or changes and ensure all FCPA requirements are properly performed, updated, and approved
Assist the Business Manager with key budgeting and planning activities
Ensure control catalogues are documented, updated, and approved as required by the Business Manager
Support ongoing control activities, including audits (UIA planning and coordination), Representation Letter coordination, controls training for staff, maintaining the training register, End User Computing Risk Assessments, and access reviews
Update and file the Delegation of Authority Guide (DOAG), FCPAs, MOCs, and job handover checklists
Coordinate the Management and Protection of Information (MPI) monthly inspection and reporting
Prepare and coordinate the development of control documentation
Prepare monthly oi updates
Prepare monthly KPI scorecards for oi and CI
Provide awareness of tools for developing the oi System 10-1 for system practitioners
Oversee the management of the central External Meetings Register and reporting process
Serve as the Departmental Records Contact and Subject Matter Expert (SME), collaborating with the respective Local IMS group
Distribute records management communications within the team
Safeguard the department's or business unit's vital records, ensuring both physical and electronic records are complete, retained, and readily accessible
Organize departmental shared drive folders and assign retention codes according to the Records Retention Schedule
Structure, organize, and maintain shared folders, including installing and removing access
Organize filing and records clean-up days and include them on the Controls Calendar
Serve as the focal point for all documentation and review processes for department-owned contracts
Monitor quality performance and adherence to contract terms and conditions
Administer contracts by monitoring Purchase Order and Agreement end dates and expenditures
Raise service requisitions for department or business unit-owned contracts and service providers
Represent the department and vendors in contract development with Procurement
Serve as the Departmental SharePoint Site Collection Administrator
Skills and qualifications
Bachelor's Degree in Information Management, Business, Economics, or a related field
Prior experience in information and records management, administration, and data analysis
Excellent written and verbal communication and presentation skills in English
Ability to work effectively in a virtual, multicultural team environment
Strong leadership and interpersonal influencing skills
Self-starter with a results-oriented and schedule-driven approach
Advanced skills in Microsoft Excel, including data validation, charting, and pivot tables
Intermediate skills in Microsoft Office applications, including Publisher, Word, and PowerPoint
Knowledge of Microsoft Access is desirable
