We are recruiting to fill the position below:

Job Title: Procurement Officer

Reports to: Restaurant Manager with a dotted line to Senior BD Manager

Job Functions

• The Procurement Officer will lead and manage end-to-end procurement, inventory governance, and supplier relationships across Apex Restaurant and Farm2Table and its other businesses from time to time.
• This role goes beyond storekeeping to include strategic sourcing, cost control, vendor negotiation, quality assurance, and cross-functional leadership.

Key Responsibilities
Strategic Procurement & Sourcing Leadership:

• Develop and implement procurement strategies aligned with the operational needs of Apex Restaurant and Farm2Table.
• Identify, evaluate, and onboard reliable suppliers for food, beverages, packaging, and operational supplies.
• Negotiate contracts, pricing, and service-level agreements to achieve cost savings and value optimization.
• Establish long-term supplier partnerships while maintaining competitive benchmarking.
• Lead seasonal sourcing strategies (especially for Farm2Table fresh produce).
• Monitor market trends, pricing fluctuations, and supply risks to proactively adjust procurement plans.

Multi-Business Inventory Oversight:

• Oversee inventory management across both business lines (fresh, dry, frozen, processed goods, beverages, and consumables).
• Implement and maintain standardized inventory control systems.
• Ensure accurate stock records and real-time updates in inventory systems.
• Conduct periodic stock audits (daily/weekly/monthly) and reconcile discrepancies.
• Design and enforce inventory policies, including par levels, reorder points, and wastage control.
• Prevent stockouts and overstocking through data-driven forecasting.

Leadership & Team Management:

• Provide leadership and supervision to storekeepers where applicable.
• Train operational teams on proper requisition procedures, inventory discipline, and cost awareness.
• Drive a culture of accountability, transparency, and ethical procurement practices.
• Collaborate with kitchen, bar, and operations managers to align purchasing with menu engineering and sales forecasts.
• Lead cross-functional coordination between finance, operations, and suppliers.

Quality Control & Compliance:

• Ensure all goods meet quality standards before acceptance.
• Enforce proper storage practices (FIFO, temperature control, shelf-life management).
• Monitor food safety and hygiene compliance across storage facilities.
• Ensure procurement processes comply with internal policies and regulatory requirements.
• Investigate and report damaged, expired, or non-compliant goods.

Financial & Cost Management:

• Prepare procurement budgets for both business lines.
• Track cost of goods sold (COGS) and recommend cost reduction strategies.
• Analyze purchase trends and consumption patterns to optimize spending.
• Approve purchase orders within delegated authority levels.
• Prepare weekly and monthly procurement performance reports for management.
• Identify wastage trends and implement corrective action plans.

Risk Management & Controls:

• Establish internal controls to prevent theft, fraud, or stock manipulation.
• Ensure segregation of duties between ordering, receiving, and issuing.
• Monitor supply chain risks and develop contingency sourcing plans.
• Conduct supplier performance reviews and audits.

Additional Information:

• In the event that a need arises necessitating a change or addition to the Employee’s duties, the Employee will be notified of any such changes by way of a written notice.
• Any such changes as stated will automatically take effect from the date as stipulated within the referred notice communicating such changes.
