Job Title: Estate Admin Executive

Location: Ifako Ijaiye, Lagos
Employment Type: Full-time

Role Summary

  • The Administration Executive will oversee administrative operations of Lilycourt Estate while coordinating documentation, compliance, and reporting for ongoing construction and sales activities.
  • The role is critical in ensuring seamless estate management, structured documentation, mortgage coordination, and project delivery within stipulated timelines.

Key Responsibilities
Estate & Sales Administration:

  • Manage subscriber documentation, allocation records, and payment tracking.
  • Coordinate documentation for flexible payment plans and mortgage processing.
  • Maintain accurate records of sold, available, and reserved units.
  • Support customer documentation, agreements, and handover processes.
  • Liaise with legal, finance, and marketing teams for seamless transactions.

Construction Administration:

  • Maintain BOQs, contractor agreements, site instructions, and approvals.
  • Track project timelines to ensure delivery within stipulated periods.
  • Prepare weekly/monthly construction and allocation reports for management.
  • Monitor material usage documentation and contractor submissions.
  • Support procurement documentation and vendor coordination.

General Administration:

  • Supervise site office operations and administrative staff.
  • Ensure proper filing, record keeping, and compliance documentation.
  • Coordinate meetings, stakeholder engagements, and site inspections.
  • Uphold integrity, transparency, and operational efficiency across the estate.

Requirements

  • HND, Bachelor’s Degree in Estate Management, Business Administration, Building Technology, Construction Management, or related field.
  • 3–5 years’ experience in real estate, estate management, or construction administration.
  • Strong knowledge of property documentation, allocation processes, and project coordination.
  • Excellent record-keeping and reporting skills.
  • High level of integrity and attention to detail.
  • Proficiency in Microsoft Office (especially Excel).
