Job Description

  • We are seeking a skilled and detail-oriented Contract Bidding Specialist to manage the complete bidding and tendering process for the organization.
  • The ideal candidate will prepare competitive proposals, analyze bid requirements, coordinate with technical teams, and ensure timely submission of high-quality bid documents that align with client specifications and organizational objectives.

Key Responsibilities

  • Identify, monitor, and track tender opportunities from government portals, private organizations, and procurement platforms.
  • Review RFPs, RFQs, EOIs, ITTs, and tender documents to fully understand requirements, scope, and evaluation criteria.
  • Prepare bid/no-bid analyses and recommend strategic decisions to management.
  • Coordinate the end-to-end bid process including bid planning, documentation, costing, and submission.

Proposal Development:

  • Compile all required documents including technical proposals, financial proposals, compliance forms, and supporting materials.
  • Draft, edit, and format proposal content to meet client specifications and standards.
  • Ensure accuracy, completeness, and quality of all bid submissions.
  • Customize proposals based on client needs, industry standards, and market trends.
  • Work closely with technical, finance, legal, operations, and project teams to gather required inputs.
  • Obtain project timelines, costing estimates, technical descriptions, and company credentials.
  • Manage internal bid timelines and follow-up to ensure deadlines are met.

Documentation & Compliance:

  • Ensure all bid documents meet regulatory, client, and internal compliance requirements.
  • Maintain an updated library of company profiles, CVs, certifications, case studies, and project references.
  • Verify that all mandatory documents (e.g., CAC, tax clearance, compliance certificates) are current.

Submission & Follow-Up:

  • Submit bids electronically or physically in line with client requirements.
  • Track the status of submitted bids and prepare periodic bid performance reports.
  • Follow up with clients to clarify requirements, attend bid openings, and respond to post-submission inquiries.

Market Research & Strategy:

  • Conduct research on potential clients, industry trends, and competitor activities.
  • Recommend improvements to bidding strategies, processes, and templates.
  • Support business development activities such as presentations, capability statements, and client meetings.

Job Requirements

  • 3–5 years experience in bidding, tendering, or proposal development.
  • Strong understanding of RFP/RFQ processes, proposal writing, and contract acquisition.
  • Excellent writing, editing, and document formatting skills.
  • High attention to detail and ability to meet strict deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), PDF tools, and document management systems.
