Job Title: Office Administrator

Location: Lekki, Lagos

Reports To: Office Manager

Job Brief

  • The Office Administrator oversees the day-to-day operations and physical environment of the office.
  • You will be responsible for the "behind-the-scenes" mechanics of the company from asset management and vendor relations to HR support and policy implementation while also managing the front desk.

Key Responsibilities
Office & Facility Administration:

  • Maintain and audit the database for all company assets (laptops, desktops, phones, and equipment). Conduct routine reviews and updates.
  • Manage the scheduling, booking, and maintenance of company vehicles. Oversee all office renewals and subscriptions.
  • Ensure the office space is functional, clean, and aesthetically maintained. Report all incidents, damages, or wear and tear immediately.
  • Assist with staff welfare (HMO, leave, and evaluations) and provide administrative support for interns, consultants, and short-term staff. Monitor the implementation of organizational policies.
  • Support procurement and logistics coordination.

Data & Records Management:

  • Manage both physical and electronic filing systems to ensure data integrity.
  • Take minutes of meetings and proactively follow up on key activities and next steps.
  • Maintain meticulous records of all incoming and outgoing official correspondence, including calls, mail, and visitors.
  • Maintain incident, damage, and operational reports

Front Desk & Secretarial Support:

  • Manage visitor access, attendance tracking, and general front-office security.
  • Monitor the general telephone lines and support communication channels (announcements, newsletters, and website updates).
  • Coordinate all dispatch activities and incoming deliveries

Communication & Information Management:

  • Manage switchboard and telephone communications
  • Support internal and external communication dissemination:
    1. Announcements
    2. Website updates
    3. Social media
    4. Newsletters

Vendor & Service Provider Management:

  • Maintain database of service providers
  • Interface and coordinate with vendors
  • Monitor service delivery and performance
  • Manage service agreements and vendor relationships

Financial Administration Support:

  • Support impress administration
  • Maintain receipts keeping and forwarding and basic financial records
  • Support expense tracking and reconciliation

Events & Office Experience Management:

  • Coordinate in-house meetings and events
  • Support office ambiance and workplace experience
  • Ensure a professional and welcoming environment

Skill Set & Requirements

  • First degree in Administration, Finance, Secretarial Studies, or a relevant field.
  • Minimum of 3 years of experience in a similar Office Administration or Operations role.
  • Proficient in digital media and office productivity tools.
  • Strong organizational skills, attention to detail, and sound decision-making abilities.
  • Excellent verbal and written communication skills.
  • Basic accounting skills for managing office expenses and records.
