Job Title: Executive Asistant

Role Overview

  • We are seeking an exceptional Executive Assistant who is more than an administrator—someone who can operate as a strategic partner to the CEO and Creative Director, driving execution, accountability, and operational excellence across the business.
  • The Executive Assistant will provide high-level executive support while overseeing critical operational and project coordination functions.
  • This role requires a highly organized, proactive, and solutions-oriented professional capable of managing competing priorities, coordinating cross-functional teams, and ensuring seamless execution of strategic initiatives.

Key Responsibilities
Executive Support:

  • Manage the CEO’s calendar, priorities, meetings, and strategic commitments.
  • Prepare reports, presentations, meeting briefs, and documentation.
  • Coordinate follow-ups and ensure timely execution of leadership decisions.
  • Serve as a key liaison between the CEO and internal stakeholders.

Creative & Production Coordination:

  • Oversee order progression from client approval through delivery.
  • Coordinate communication between design, production, and client-facing teams.
  • Monitor project timelines, production schedules, and delivery commitments.
  • Identify and escalate potential risks, delays, or operational bottlenecks.

Operations & Systems Oversight:

  • Maintain and improve operational workflows, systems, and SOPs.
  • Ensure compliance with quality standards and established processes.
  • Track key operational metrics and performance indicators.
  • Identify and implement process improvements that drive efficiency and consistency.

Project & Team Management:

  • Coordinate cross-functional projects and strategic initiatives.
  • Ensure priorities are clearly communicated and executed.
  • Monitor deadlines and follow through across multiple stakeholders.
  • Support recruitment, onboarding, and team coordination activities when required.

Requirements

  • Minimum of 5 years’ experience in operations, project management, executive support, business administration, or a related leadership-support role.
  • Strong operational and systems-thinking mindset.
  • Excellent project management and coordination skills.
  • Exceptional written and verbal communication abilities.
  • Proficiency in productivity and project management tools.
  • Strong problem-solving and decision-making capabilities.
  • Ability to handle confidential information with discretion and professionalism.
  • Experience managing multiple priorities in a fast-paced environment.
  • Fashion industry experience is an advantage but not mandatory.

  • Strong leadership and stakeholder management skills.
