Job Title: Personal Assistant to the GMD

Job Summary
- The Personal Assistant (PA) to the Group Managing Director (GMD) provides high-level administrative, secretarial, and operational support to ensure the smooth management of the GMD’s office.
- This role demands exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced and dynamic environment.
- The PA acts as the key liaison between the GMD, internal management, external partners, government agencies, consultants, and clients – ensuring efficient communication and execution of strategic, operational, and project-related matters across the Group.
Key Responsibilities
Executive Support:
- Provide comprehensive administrative and executive assistance to the GMD.
- Manage and maintain the GMD’s calendar, appointments, meetings, and travel schedules.
- Prepare and review correspondence, reports, memos, and presentations on behalf of the GMD.
- Organize internal and external meetings, including preparing agendas, documentation, and taking minutes where required.
- Screen and prioritize phone calls, emails, and requests, ensuring timely responses and follow-up actions.
- Ensure the GMD is well-prepared and briefed for all meetings, conferences, and business trips.
Strategic & Project Support:
- Support the GMD in tracking strategic initiatives, projects, and key performance indicators (KPIs) across all business units.
- Follow up with departmental heads on progress reports, deliverables, and deadlines.
- Conduct basic research, data gathering, and analysis to support executive decision-making.
- Prepare executive summaries, project updates, and briefing notes for management meetings and board presentations.
- Assist in coordinating special projects, events, or initiatives as assigned by the GMD.
Communication & Liaison:
- Serve as the primary point of contact between the GMD and internal/external stakeholders.
- Maintain professionalism and strict confidentiality in handling sensitive business and personal information.
- Draft, edit, and manage correspondence with clients, investors, regulatory bodies, and government agencies.
- Support in maintaining a positive and professional image of the GMD’s office and the Group as a whole.
Office & Logistical Management:
- Manage the day-to-day running of the GMD’s office to ensure efficiency and organization.
- Coordinate logistics for meetings, conferences, and local/international travel arrangements.
- Handle expense reports, reimbursements, and budgetary tracking related to the GMD’s office.
- Maintain proper filing systems (both electronic and physical) for documents, reports, and confidential materials.
People & Relationship Management:
- Build and maintain strong working relationships with department heads, project managers, and executive team members.
- Represent the GMD’s office in a professional and courteous manner at all times.
- Support the GMD in managing personal engagements and commitments, where required, without compromising business priorities.
Requirements
Qualifications & Experience:
- Bachelor’s Degree in engineering, Business Administration, Secretarial Studies, Management, or related field.
- 4-6 years proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives (preferably in engineering, real estate, or project-based industries).
- Demonstrated ability to manage confidential information with discretion.
- Experience in handling cross-functional coordination, project tracking, and executive reporting.
- Strong interpersonal and problem-solving skills.
- Excellent command of written and spoken English; multilingual ability is an advantage.

- Strong attention to detail and accuracy.

- Familiarity with infrastructure, construction, or real estate sectors is an advantage.
