Voltaire Lifestyle Services Limited is the owner of GAIA AFRICA Club and Gaby Lagos, luxury brands, situated in Victoria Island in Lagos State. It is a hospitality Company with a luxury restaurant, a private business clubhouse, and event management.

We are recruiting to fill the position below:

Job Title: Programmes Coordinator

Location: Victoria Island, Lagos

Job Summary

  • The Programmes Coordinator should be a highly skilled individual.
  • The post-Holder will develop and execute engaging, high-impact programmes that align with our mission.
  • This role requires a strategic thinker who can curate exceptional events, manage relationships with key stakeholders, and ensure a seamless experience for our members.
  • This role is critical to shaping the experiences that drive member satisfaction, retention, and brand prestige at GAIA AFRICA.
  • The ideal candidate will be creative, business-savvy, and highly organised.

Key Responsibilities
Programme Development & Planning:

  • Conduct thorough research to identify relevant and timely themes for club programmes.
  • Define programme goals, objectives, and expected outcomes in alignment with management strategy.
  • Design innovative educational and networking programmes, including workshops, masterclasses, webinars, seminars, roundtables, business events, guest speaker events, mini club and social activities.
  • Ensure key Club programmes are held and at a high quality
  • Develop a comprehensive annual programme calendar that maximises engagement and value for members.
  • Identify and evaluate potential speakers, trainers, and facilitators.
  • Coordinate Gazelle events from planning to execution, including themes, relevant speakers, and sponsorship acquisition
  • Work closely with Brand Communications and graphic designers to develop content and promotional materials.

Programme Execution & Management:

  • Oversee the end-to-end planning and execution of both virtual and in-person programmes.
  • Coordinate logistics, including venue selection, vendor negotiations, scheduling, and budgeting.
  • Serve as the primary contact for speakers, guests, and stakeholders, ensuring smooth programme execution.
  • Maintain accurate records of attendance, feedback, and key performance metrics to assess programme success.
  • Ensure seamless coordination of all programme functions, including registration, setup, food & beverage, and technical requirements.

Stakeholder Engagement & Collaboration:

  • Liaise with management to ensure programme initiatives align with overall business objectives.
  • Build and maintain strong relationships with members, external partners, and industry experts.
  • Represent the club at external events, conferences, and networking opportunities.
  • Engage with members to encourage participation and gain feedback for continuous improvement.

Administration & Process Optimisation:

  • Manage day-to-day administrative tasks related to programme operations.
  • Monitor registrations, track RSVPs, and address inquiries or issues.
  • Develop structured processes to improve programme efficiency and member engagement.
  • Establish and document best practices for programme planning, execution, and review to support scalability
  • Please note that, in your capacity as the Programmes Coordinator, you are expected to work closely with the Membership Coordinator and provide support for Membership operations.

Key Performance Indicators (KPIs)

  • Programme Management: Ensure key Club programmes are held and at a high quality
  • Programme Attendance: Achieve target participation rates for events.
  • Member Engagement: Track satisfaction scores and qualitative feedback.
  • Programme ROI: Ensure events are cost-effective and deliver high value.
  • Partnership Development: Secure strategic collaborations and partnerships.
  • Budget Adherence: Maintain programme expenses within allocated budgets.
  • Operational Efficiency: Improve event planning processes and reduce execution time.

Key Requirements

  • Bachelor’s degree in a relevant field (e.g., Communications, Event/Programmes Management, Business Administration).
  • 7 to 10+ years of experience in programme management, event planning, or a related role.
  • Strong organisational skills and ability to manage multiple projects simultaneously.
  • Excellent communication, negotiation, and interpersonal skills.
  • Proficiency in digital event platforms, project management tools, and Microsoft Office Suite (Word, PowerPoint, Excel, Adobe Acrobat).
  • Experience with event management tools and virtual platforms (e.g., Zoom Webinar etc) is preferred.
  • A well-established network of trainers, speakers, and industry experts is a plus.
  • Experience managing budgets and financial planning for events.
  • Ability to work flexible hours, including evenings and weekends when required.
  • Knowledge of leadership development programmes and industry trends is advantageous.
