Fusion Group - Our client, a Real Estate Development firm in Lagos State, is recruiting to fill the position below:

Job Title: Senior Executive Assistant

Location: Lagos Island, Lagos
Employment Type: Full-time

Responsibilities
Some of the responsibliities are:

  • Plan and organize work activities; recommends improvements in work flow, procedures, implement improvements as approved
  • Prepare special reports and perform special projects that may require researching, gathering, and organizing information from a variety of sources
  • Keep track of important project documents like project plans, blueprints, vendor contracts and drawings
  • Establish and maintain a centralized system for the control of company correspondence
  • Logging of all correspondence, drawings, procedures, standards, specifications, vendor drawings, purchase orders, data sheets, manuals, etc. and generate internal transmittal for internal circulation of the same.
  • Co-ordinate and control of Engineering documentation, QC documentation (Inspection Records), suppliers documentation, subcontractors documentation with Client/Contractor as well as internal review approval of Subcontractors documentation.
  • Assist assigned staff with special projects as assigned; research information as requested.
  • Controlling company and project documentation
  • Following and improving document control procedures
  • Sorting, storing and retrieving electronic and hard copy documents on behalf of clients and industry professionals
  • Produce document progress reports for construction managers
  • Assist in the planning stages of a specific project
  • Manage requests for documentation and ensure documents are shared at key times to facilitate timely project completion
  • Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date
  • To liaise with and distribute project related information with all levels of the project team and potentially external parties
  • Prepare ad-hoc reports on projects when required

Requirements

  • Bachelor's Degree in Project Management, Business/ Data Management / Construction management or any other relevant field
  • Minimum of 3– 5 years’ experience as an Administrative personnel/Document Controller/ Quality Management System Officer/ any other related field in the Real Estate/Construction Industry
  • Ability to work independently, maintain confidentiality of work assignments and is resourceful to accomplish day-to-day tasks.
  • Strong time-management skills with the ability to effectively lead multiple aggressive deadlines.
