Job Summary
Our client are currently accepting applications for a personal assistant/admin officer to assist the Creative Director/Business Owner.
Your job is to assist the CD and ensure that the strategic/business goals of the CD are met.
Preferred candidates should be an art/creative enthusiasts, amiable with a can-do attitude, have an interest in fashion/ design, be willing to learn on the job, able to multitask, think on their feet, have knowledge of admin functions, etc.
Act as the point of contact between the CD, Management, and their customers. To support and manage travel arrangements and detailed travel itineraries for the business.
To treat all information acquired both formally and informally with strict confidentiality.
To carry out any other duties as required by the management from time to time.
Job Description
Complete a broad variety of administrative tasks that facilitate the CD’s ability to effectively lead the business, including: assisting with special projects; reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence and maintaining contact lists; take notes / dictation/minutes at meetings and provide general assistance during presentations.
Prepare reports for the CD on weekly or monthly basis on issues that have been or would be handled ahead of time for his/her decision making.
Serve as the primary point of contact for internal and external parties on all matters pertaining to the CD.
Coordinate all meetings of the CD as well as assist with corporate events as needed.
Manage CD’s calendar, including making appointments and prioritizing the most sensitive matters.
Monitor, screen, respond to and distribute incoming and outgoing communications such as enquiries and requests.
Handle minor financial and accounting matters for the business with confidentiality.
Meet and receive guests/visitors in person or on the telephone; answering or directing inquiries on behalf of the CD.
Devise and maintain office systems, including data management, filing, etc.
Handle travel and accommodation requirements for the CD, occasionally, traveling with the CD on official assignments (if need be) to handle administrative tasks and provide general assistance as needed.
Liaise with staff and sales team to gather information and reports required by the CD; and carry out general instructions.
Manage initiatives and coordinate other activities designed to build and protect the CD’s personal brand/concerns.
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
Carry out such other duties as may be assigned from time to time by the CD
Qualifications
First Degree in any Business / Arts related field.
Understanding English is mandatory (Read / Write / Comprehend)
Administrative experience under an executive - 2 years and above is an added advantage
Required: 2 years of administrative experience in a similar role.
Having project management experience is an advantage.
An understanding of accounting is an added advantage.
Possess excellent written & verbal communication skills and effectively communicate with the field, management, and clients alike.
Microsoft Office skills required.
Must be detail-oriented and highly organized.
Ability to work in a fast-paced environment.
Ability to work under pressure in a deadline-driven environment.
Ability to manage sales team effectively
Must be proactive and solution-orientated
Must be able to multitask and self-manage in a dynamic environment
Must be willing to adapt to a fluid environment.
