Job Title: Reservations / Front Desk Officer

Location: Abuja (FCT)
Employment Type: Full-time

Job Description

  • As a Hotel Reservations Personnel (Male & Female), you will be an integral part of our reservations team, responsible for ensuring efficient and accurate booking processes.
  • Your excellent communication skills, attention to detail, and knowledge of the hotel and hospitality industry will contribute to the success of our reservations department and guest satisfaction.

Responsibilities
Reservation Management:

  • Receive and process reservation inquiries, whether through phone calls, emails, or online booking platforms.
  • Provide accurate and detailed information about room availability, rates, and hotel amenities to prospective guests.
  • Utilize the hotel's reservation system to make and modify reservations, ensuring accuracy and adherence to hotel policies.

Guest Communication:

  • Engage with guests in a professional and courteous manner, addressing their inquiries and resolving any concerns or issues related to reservations.
  • Communicate special requests, preferences, and any additional information to the appropriate departments to ensure a seamless guest experience.
  • Provide confirmation emails or letters to guests, including all relevant reservation details and instructions.

Inventory Management:

  • Monitor room availability and manage inventory to maximize occupancy and revenue.
  • Coordinate with the front desk and housekeeping departments to ensure accurate updates on room status and availability.
  • Assist in managing group bookings and allocations, ensuring proper room blocks and timely communication with event organizers.

Sales and Revenue Generation:

  • Promote and upsell hotel amenities, packages, and special offers to enhance guest experiences and increase revenue.
  • Collaborate with the sales and marketing team to identify potential opportunities for upselling and cross-selling.
  • Utilize knowledge of the hotel's offerings to effectively communicate benefits and value to prospective guests.

Administrative Support:

  • Maintain organized and accurate reservation records, ensuring proper documentation and filing systems.
  • Generate reports on reservation statistics, revenue, and other relevant metrics to assist in decision-making and forecasting.
  • Assist in coordinating with other departments, such as housekeeping and front desk, to ensure smooth operations and guest satisfaction.

Qualifications & Experience

  • High School Diploma or equivalent is required; additional education or certification in hospitality or related field is a plus.
  • 2+ years relevant work experience.
  • Previous experience in hotel reservations or a customer service role is preferred.
  • Sales and marketing experience.
  • Excellent communication and interpersonal skills to interact with guests, colleagues, and external partners.
  • Strong attention to detail and ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Proficiency in using computer systems and reservation software; experience with hotel reservation systems is required.
  • Knowledge of hotel and hospitality industry practices, including room types, rates, and common procedures.
  • Problem-solving abilities to address guest inquiries, resolve issues, and handle challenging situations.
  • Flexibility to work shifts, including evenings, weekends, and holidays, as per the demands of the hotel industry.
