Job Title: Executive Assistant / Administrator

Location: Lagos Island, Lagos

Job Summary

  • We are looking for a highly organized, proactive, and detail-oriented Executive Assistant / Administrator to support the Founder and oversee the daily administrative operations of a growing bag brand in Lagos.
  • The ideal candidate will be responsible for coordinating schedules, managing administrative processes, supporting business operations, and ensuring smooth communication across the business.
  • This role is ideal for someone who thrives in a fast-paced creative environment, possesses strong problem-solving skills, and can effectively manage multiple priorities with professionalism and discretion.

Key Responsibilities
Executive Support:

  • Manage the Founder’s calendar, appointments, meetings, and travel arrangements.
  • Prepare reports, presentations, meeting minutes, and correspondence.
  • Follow up on action points, deadlines, and ongoing business projects.
  • Handle confidential information with a high level of professionalism and discretion.
  • Serve as the primary point of contact between the executive office and internal/external stakeholders.

Administrative Duties:

  • Coordinate daily office operations and administrative activities.
  • Maintain organized records, filing systems, and business documentation.
  • Manage office supplies, vendor relationships, and procurement processes.
  • Handle incoming calls, emails, and inquiries professionally.
  • Support the implementation of operational procedures and administrative systems.

Operations & Business Coordination:

  • Assist with inventory tracking, order coordination, and customer fulfillment processes.
  • Liaise with production teams, suppliers, logistics partners, and vendors.
  • Support customer service activities to ensure excellent client experience.
  • Assist with planning events, pop-ups, exhibitions, and brand activations.
  • Coordinate internal communication and ensure efficient workflow across teams.

Financial & Reporting Support:

  • Assist with expense tracking, invoices, and petty cash management.
  • Prepare simple operational and administrative reports when required.
  • Support budgeting and cost-monitoring activities.

Requirements

  • Bachelor’s Degree or HND in Business Administration, Management, Mass Communication, or a related field.
  • 2–3 years’ experience in an Executive Assistant, Administrative, or Operations role.
  • Experience within the fashion, retail, lifestyle, or creative industry is an added advantage.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time-management skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and digital collaboration tools.
  • Ability to work independently and take initiative.
  • High level of integrity, professionalism, and attention to detail.

Preferred Skills:

  • Basic understanding of social media and digital business operations.
  • Strong coordination and stakeholder management abilities.
